Export HIS forms
Path: Transactions>General>HIS Export
Prerequisite: To export HIS forms, you need to have appropriate privileges granted by the administrator.
After export, the forms become locked and cannot be edited. If the exported form is rejected, the exported records can be corrected. For more information, see Modify exported HIS forms and Deactivate HIS forms exported.
Step 1 – Select Export Parameters
- Go to Transactions>General>HIS Export.
- In the Destination section, select the type of export (CMS or for testing purposes only).
- CMS – If you export a form using this option, the status of the form will change to Exported in Patient>Documents>Hospice Item Set, and the exported form will not be listed as a form ready for export.
- Test – If you export a form using this option, the exported file will be generated but the status of the form will not change and the form will re-appear for export selection until you perform the CMS export.
- In the Insurance Type section, select the payer type (Medicare, non-Medicare, or all).
Note: The payer is considered as Medicare if the A0600B item is filled on the form. - To select the forms signed within a certain period, select the Use Date Range check box and define the dates.
- Click Next.
Step 2 – Select Forms to Export
- In Step 2 – Select Forms to Export, view the list of all forms according to the selected criteria. For each record, view patient code and name, date when the form was signed, the form type (A – admission, D – discharge), the date of the form, and the number of warnings and fatal errors.
- To sort forms by type, click the Form Type column.
- To filter the data (with or without warnings/errors), click the corresponding radio button at the bottom.
- Records with fatal errors cannot be exported. To view warnings or fatal errors in the form, double-click its record to open the HIS Validation dialog. You can edit warnings and fatal errors only in Patient>Documents>Hospice Item Set.
- Select the records for export.
- Click Export.
Step 3 – Export
- In Step 3 – Export, view the report with export results.
- The report shows patient code, patient name, form type, date of the form, and the date when the form was signed. Depending on the export results, you may see the corresponding sections:
- Exported HIS Forms – Shows the list of exported forms. The name and location of the export file is placed right before the section header. See HIS exported files formats and naming.
- Not Exported HIS Forms – Shows all the forms that were not exported. The corresponding fatal error types and descriptions are included.
- If needed, print or save the report in any of the available formats (XLS, PDF, or TXT).
- To export other HIS forms, click Close to return to Step 1 – Select Export Parameters.
