Export OASIS assessments

Path: Transactions>General>OASIS Export

  1. Go to Transactions>General>OASIS Export.
  2. In the OASIS Export – Select Mode window, select the Export OASIS Data option, and click Next.
  3. In the OASIS Export – Select Export Parameters window, define the following parameters:
  4. In the Destination section, select the type of export: CMS, Non-CMS, or Test. 
    Notes: If you select Non-CMS, the export date is not updated. The export date is used in the "OASIS is exported for Episodic claims" billing rule. Although Medicare and Medicaid HMOs are configured as commercial insurances, you must select CMS to submit them to CMS along with Medicare and Medicaid assessments. Selecting this option also updates the export date and enables billing to occur correctly.
  5. To export assessments completed within a certain period, select the Use Date Range check box and define the dates.
  6. In the Insurance Type section, select the appropriate payer type and specify the Medicare and Medicaid agency provider numbers (defined for the insurance).
  7. Medicare CCN will be included in the export file as M0010 item. Assessments are filtered by Medicare and Medicaid Provider ID. 
    Note: The All Patients option is available only for the non-CMS and test destinations.
  8. Select a state-assigned unique OASIS ID (defined in Administration>Configuration>Business Units>Settings>Assessments).
  9. Select the sorting option for the export report.
  10. If needed, group the assessments by their reasons (RFA).
  11. In the Select Assessments By section, select either All Assessments or one of the other options to further narrow down the list of assessments to export: Individual Patients, Individual Assessments, or Individual Payer
    Note: If you are exporting assessment before the OASIS ASAP export effective date, you should include up to 100 assessments in a single export file. Otherwise, you might see the "out of memory" messages. The maximum number of the OASIS Export records in a file is defined in Administration>Configuration>Business Units>Settings>Exports. Depending on the selected option in the Select Assessments By section, the corresponding window for selecting individual patients, assessments, or payers opens.
  12. Click Next.
  13. Click Next.
  14. If assessments contain warnings and fatal errors, the OASIS Export – Select Assessments to Export window opens. To view reasons, right-click an assessment and click Warning Reason. 
    Select one of the following options:
    1. Submit selected assessments – To submit selected assessments regardless of warnings.
    2. Exclude all these assessments – To remove all the listed assessments from the export.
  15. Click Export.
  16. The OASIS Export – Assessments Export on {date} window opens with the generated report. The report name and content differ depending on the selected assessment type and sorting options. You can view exported assessments, and not exported assessments with the associated errors. 
    Note: You can view the name and location of the export file. The default file location is the OASIS folder where the application is installed, and it can be changed in Administration>Configuration>Business.
  17. If needed, print or save the report in any of the available formats. 
  18. If you need to export other assessments, click Close to return to the OASIS Export – Select Assessments to View window.
