Manage myAvatar dictionaries

Manage myAvatar dictionaries on the Dictionary Update form (RADplus Utilities > Dictionary and Table Maintenance > Dictionary Update). Dictionaries are the files that contain values for multi-select fields throughout myAvatar.

  • Unlocked single- and multiple-response dictionaries can be updated directly from a form. Right-click a dictionary field on a form and select Yes at the Update Dictionary? prompt. The Dictionary Update grid displays for adding and deleting dictionary items.
  • Locked dictionaries in user-defined forms can be edited if:
    • The dictionary has been unlocked in the Table Definition form.
    • The Dictionary Update form is opened in the BUILD environment.
    • The user has read and write access to the Table Definition form (set up in the User Definition form).
Locked versus unlocked

While all multi-select fields in myAvatar pull their values from a dictionary within the system, some dictionaries are locked and others are unlocked. Locked dictionaries are set with predetermined values and cannot be edited. Unlocked dictionaries may or may not be set with values and are designed to be changed according to the needs of your organization. Some locked dictionaries contain extended elements that are unlocked.

Examples:

  • Primary Language, Client file, Field 149, is a user-defined dictionary. The SAMPLE system code provides values of English, Spanish, and French. Netsmart would expect all agencies to augment this dictionary with additional values, as needed.
  • Status, Client file, Field 1800, is a system-defined dictionary with acceptable values of Active, Working, Rule-out, Resolved, and Void. Although a dictionary, modifications to this dictionary are not supported.
  • Smoker, Client file, Field 9603, is a user-defined dictionary with extended data elements. These can be used to apply additional data to the dictionary values.

Prerequisites:

  • The dictionary must be unlocked.
  • The user must have access to the Dictionary Update form and meet the security requirements for the field (User Definition, and User Role Definition form, User Security Level field).
  • For Auto-Synced Dictionary namespaces, all root system codes must be in sync.
  • For Auto-Synced User-defined form unlocked dictionaries, the user must access the form through the associated build environment.
Manage unlocked dictionary values
  1. Go to: RADplus Utilities > Dictionary and Table Maintenance > Dictionary Update.
  2. In the File field, select the dictionary file.
    Note: This list is created when myAvatar is installed and cannot be modified.
  3. In the Data Element field, search for and select the data element. 
    • Unlocked dictionary data elements are available.
    • If the data element has extended dictionary values, additional fields display.
  4. Enter the Dictionary Code. This can be numerical or alphabetical, but may not contain ampersands (&) or commas (,).
  5. Enter the Dictionary Value to include. This field has a 40-character limit.
  6. Select Apply Changes.
  7. If appropriate, select Clear to remove changes.
Extended Dictionary Data Elements

Extended dictionary data elements add additional functions to a dictionary data element. User-defined data collection instrument (DCI) extended dictionary data elements are managed in the Table Definition form (Extended Attribute section).

  1. Go to: RADplus Utilities > Dictionary and Table Maintenance > Dictionary Update.
  2. In the File field, select the dictionary file.
  3. In the Data Element field, search for and select the data element. 
    • Unlocked dictionary data elements are available.
    • If the data element has extended dictionary values, additional fields display.
  4. Enter the Dictionary Code. This can be numerical or alphabetical, but may not contain ampersands (&) or commas (,).
  5. Enter the Dictionary Value to include. This field has a 40-character limit.
  6. In the Dictionary Value field, enter the dictionary description.
  7. In the Extended Dictionary Data Element field, select the extended dictionary data element. These values are created when myAvatar is installed (product dictionaries), and through the Table Definition form (Extended Attribute section), when a form is modeled.

Different types of extended dictionaries enable the associated fields below:

  • In the Extended Dictionary Value (Single Dictionary) field, select the data element.
  • In the Extended Dictionary Value (Free Text) field, enter the dictionary value.
  • In the Extended Dictionary Value (Multiple Dictionary) field, select the extended data element.
  • In the Dictionary Service Search field, enter some of the letters from the value you are looking for, and press the Tab key. The Select Extended Dictionary Value window opens, filtered according to the letters in your search. Choose the desired value and select OK.
    Since this search functionality queries outside tables, these values are not reportable through Print Dictionary and will not support additions through Dictionary Import.

Note: International characters used in dictionaries will not import to another system code at present.
