Clinic Scheduling
Schedule, edit, and manage appointments at multiple clinic sites.
- This form display is controlled through the Enable Clinic Scheduling Functionality registry setting.
- Site names and time slots are maintained in the Site Registration form.
- Service codes are maintained in Avatar PM.
- Clinic Scheduling provides the ability to overbook appointments. Overbooking access must be granted in the User Definition form.
- Follow-up fields display when the Enable Follow-Up Appointment Functionality registry setting is enabled.
Add Appointment
- Go to: Avatar PM > Appointment Scheduling > Clinic Scheduling
- Select the Site of the appointment from the drop down list.
- Edit the Month and Year as appropriate.
- Click Schedule Appointments. The Clinic Scheduling Grid opens.
- In the Calendar field, select the day of the appointment.
- Select the appointment time slot from the grid of available slots.
- Click Schedule Appointment. The Clinic Scheduling section is re-displayed.
- Enter the Service Code, and select the appropriate service code from the list of matches.
- Enter the Client Name or ID#, and select an open episode for the client from the Episode drop-down list.
- The Program defaults from the selected episode. Select a different program if necessary.
- Select the Appointment Status from the drop-down list.
- In the Client Willing to Pay at Front Desk field, select whether or not the client is willing to pay.
- This field is affected by the Enable Self-Pay Balance Warning registry setting.
- Enter other information as appropriate.
- Click File Appointment.
View/Edit Appointment
- Select the Site of the appointment from the drop down list.
- Edit the Month and Year as appropriate.
- Click Select Existing Appointment. The Clinic Scheduling Grid opens.
- In the Clinic Scheduling Grid, highlight the appointment to be viewed or edited.
- To view the appointment, click View Appt to view all information entered in the Clinic Scheduling section.
- To reschedule the appointment to another time within the same day, click Reschedule.
- Click Print to print all appointment details.
- To edit the appointment, click OK. The Clinic Scheduling section re-displays.
- Make changes as necessary. Click File Appointment.
