Register a site
Register a site and identify its operating days and hours. One facility cannot a facility be registered with multiple offices. Each location must be registered as a separate site.
Prerequisites:
- Appointment Scheduling options and preferences are set up in the User Role/User Role Definition form.
- Staff member availability is maintained in the Staff Members Hours and Exceptions form.
- Define the operational hours and holidays thoroughly to make scheduling appointments easier.
- The Site Termination form can be used to deactivate a site. The site can then be "reactivated" if necessary, via the Delete Site Termination form.

Go to: Avatar PM > Appointment Scheduling > Site Management > Site Registration - Enter the Site Name or ID# and select Search.
- If registering a new site, the Not Found dialog box opens. Select New Site.
- To assign a system generated ID number for the new site, select Yes in the Auto Assign Next ID Number message box.
- To assign a unique ID number manually, select No and enter the ID number.
- If editing an existing site, select the site from the Site Search Results then, choose Select.
- The New Site Registration dialog box opens. When editing information for an existing site, all current information displays by default.
- Enter or edit the Site Name.
- In the Site Registration Date field, enter the starting date of site availability (i.e. the first date that an appointment can be scheduled for this site). The Site Registration Date affects staff availability in the Scheduling forms. This date can only be edited in the Edit Site Registration Date form.
- If appropriate, in the Associated Programs field, select the programs for which appointments can be made.
- This field displays when the Include Associated Programs registry setting is enabled.
- Select whether or not to Copy Information From An Existing Site.
Selecting Yes copies information from the Site Hours Of Operation, Site Holidays, and Missed Visit sections of an existing site. - Enter other information as appropriate.
Site Hours of Operation Button
Used to define the scheduled hours for each day of the week. Site hours can be edited or deleted to accommodate changes in site operation.
- In the Site Hours of Operation table, select New Row.
- In the Hours Effective Date and Hours End Date fields, enter the beginning and end dates the hours are valid, or double-click to select from the drop down calendar.
- In the Day field, enter the day code for which the hours are entered, or double click to select from the drop down list.
- In the Start Time and End Time fields, enter the start and end times for the selected day.
- In the Allow Overbooking field, enter the overbooking code, or double-click to select from the drop down list.
- If nothing is entered in this field, overbooking is automatically allowed.
- If Yes is selected, enter the Number Of Overbookings To Allow. If nothing is entered this field, there is no limit to the number of allowable overbookings.
- If applicable, enter the Service Code For Search, or double-click to select from the drop down list of service codes. If no codes are selected, all codes are included in the search.
- This field displays when the Include Service Code For Search registry setting is enabled.
- Select Save.
Site Holidays Button
Used to define specific days when the site hours are different than the normal schedule. Exceptions can be edited or deleted to accommodate changes in site holiday schedules.
- In the Site Holiday table, select New Row.
- In the Recurring Or Individual field, enter the appropriate code, or double-click to select from the drop-down list.
- If the exception is recurring:
- In the Recurrence Pattern field, enter the recurrence pattern code, or double-click to select from the drop-down list.
- In the # Of Sessions Or Date Range field, enter the appropriate code, or double-click to select from the drop-down list.
- If # of Sessions is selected, in the # Of Sessions field, enter the number of sessions for the exception.
- If Date Range is selected, in the Exception End Date field, enter the end date for the exception, or double-click to select from the drop-down calendar.
- If the exception is individual:
- In the Closed For Entire Day Or For Selected Time field, enter the appropriate code, or double-click to select from the drop-down list.
- For exceptions during a selected time, enter the start and end times in the Holiday Start Time and Holiday End Time fields.
- Enter the Holiday Description.
- Enter other information as appropriate.
- Select Save.
