Order Entry User Role
Assign the program access and permissions for different types of users in myAvatar Order Entry.
Avatar Order Entry > Order Entry System Security > Order Entry User Role
- Assigning a user role defines the types of orders the user role can work with and the actions that can be performed.
- Customize a user role for an individual staff member with the Order Entry User Definition form (Order Entry User Customization section). Display a report of user roles with the User Roles Report form.
Prerequisites:
- Install myAvatar Order Entry 2011 Enhancement 31 and myAvatar eMAR 2007 Enhancement 31 in order to implement role-based restrictions for administering orders in myAvatar eMAR.
- In the Order Entry User Role Name field, either enter a new user role or select a user role to edit.
- In the Order Actions Allowed field, select all actions the user role can perform. The choices selected here determine the actions available to the user in the Client Profile / Physician Orders form.
If a user role is given access to change order type information, that user role should also be given access to view the order type.
- For the 'Order Types Allowed' fields, select the order types the user role can view, enter, and update as well as order types for which the user can view, enter, and append notes and those order types that will require validation.
- In the 'Allowed To' fields, specify whether the user role can pre-authorize orders, activate pre-authorized orders, and print prescriptions.
- In the Restrict To These Values For Order Entry Source field, select the order entry sources the user role can access in the Client Profile / Physicians Orders form.
- In the Default for Order Entry Source field, choose the selection that will be the default for the Order Entry Source field (Client Profile / Physicians Orders form).
- For the Default for Delayed Entry field, choose whether to have orders automatically selected for default delay. Delayed orders are filed after the order has been administered. The Delayed field (Client Profile / Physicians Orders form) can be cleared for individual orders.
- In the Limit Entry/Update To History-Only Orders field, select Yes to restrict the user role to history-only orders. Users with history-only order access cannot enter or change orders in other categories (discharge, leave, etc.).
- In the 'Require Use Of Practitioner Who Is Not Enrolled Fields' field, select Yes to make the Practitioner Who Is Not Enrolled field required in the Client Profile / Physicians Orders form. If Yes is selected, the Practitioner Who Is Not Enrolled field is required and the Practitioner field is disabled in the Client Profile / Physicians Orders form.
- In the Allow New Orders For Discharged Episodes field, select Yes to allow the user role to create new orders for client episodes where the client has been discharged.
- For the Require Validation Based Upon DEA Schedule field, select the choices used to determine if a medication order will require validation based on the DEA Schedule of the order code. The user will be able to validate orders that have a DEA schedule selected here.
Avatar eMAR section
The 'eMAR Warning' fields and the 'Prevent Use of Acknowledge Order' field are for configuring user-based role restrictions that apply to myAvatar eMAR users. The Medication Categories field is for exempting orders from requiring validation.
- For the eMAR Warning When Administering These Routes of Administration field, select the routes of administration that will trigger a warning message in myAvatar eMAR when the user attempts to administer an order with the particular route of administration.
- For the eMAR Warning When Administering Controlled Substances field, select the DEA schedules for controlled substances that will trigger a warning message in myAvatar eMAR when the user attempts to administer a controlled substance with one of the specified schedules.
- In the Prevent Use of Acknowledge Order Function In eMAR field, select Yes or No to indicate if the user should be prevented from recording an order administration if the order has not been acknowledged by an authorized user.
- In the Medication Categories That Do Not Require Validation field, select the medication categories for pharmacy-type orders that will be exempt from requiring user validation if the user/user role is defined to require validation for orders in the select medication category. Refer to the Order Code Setup form for the medication categories for pharmacy-type orders.
- For the Allowed to Edit an eMAR Administration Event and Allowed to Delete an eMAR Administration Event, indicate whether the user role is allowed to perform these actions.
- Click Submit.
