Register groups and assign group members
Use the Group Registration form to register groups and assign group members.
- These groups are used by the Scheduling Calendar and Post Staff Activity Log forms.
Prerequisite:
- Users must have permission to overbook groups (Appointment Scheduling section, User Definition/User Role Definition form).
- Go to Avatar PM > Appointment Scheduling > Group Management > Group Registration.
- Enter the Group Name or ID# and click Search.
- If registering a new group, the Not Found dialog box opens. Click New Group.
To assign a system generated ID number for the new group, click Yes in the Auto Assign Next ID Number message box.

To manually assign a unique ID number, click No and enter ID number. - If editing an existing group registration, select the group from the Group Search Results. Click Select. The Group Registration form opens. When editing information for an existing group, all current information displays by default.
- If registering a new group, the Not Found dialog box opens. Click New Group.
- Enter or edit the Group Name.
- In the Group Registration Date field, enter or edit the date of group creation.
- The Group Registration Date affects group scheduling in the Scheduling forms. This date can only be edited in the Edit Group Registration Date form.
- In the Is this Group a Family? field, select whether to designate this group as a family.
- In the Group Description field, enter a description to identify the group.
- In the Group Capacity field, enter the maximum number of individuals to include in the group. Leave the field blank to allow an unlimited capacity.
Note: Zero is not an acceptable value. Also, additional group capacity validation is added to Group Registration and Group Member Assignment. - In the Associate Groups field, select the group(s) to associate. This functionality allows group members to be added to a primary group and associated groups at the time of a group member assignment.
- Click Submit.
