Edit Service Information - Cal-PM

Edit service information for several posted services.

The Cost Of Service field can be edited for open services in the Edit Service Information (Charge Fee Access) form.

  • If the service being edited is associated with a progress note that generated a document, that document is appended with the new service information upon filing. Additionally, a To-Do item will be sent to the service practitioner to inform them about the change.
  • Services are available for selection in this form when Yes is selected for the treatment program (Primarily Medical Program field, Program Maintenance form).
  • The service must be required by a client, or a client and practitioner (Service Required By field, Service Codes form).

Select Service

  1. In the Client ID field, enter the client name, click the Search button, and select the corresponding entry.

  2. In the Episode Number field, select the client episode.

  3. In the Service Start Date field, enter the earliest service date to display in the Select Service(s) To Edit screen.

  4. In the Service End Date field, enter the latest service date to list in the Select Service(s) To Edit screen.

  5. In the Claim Number field, select the claim by which to filter services from the list of services to select or update.

  6. In the Service Selection Default field:

  • Select All to have all services chosen in the Select Service(s) To Edit screen.
  • Select None to have no services selected.

  1. Click Select Service(s) To Edit to display the Select Service(s) to Edit screen. Select the services, click OK. Different services, and different dates of service can be selected.

Service Details

The Service Code, Program, and Duration (Minutes) fields can be edited for services with an OPEN billing status. These fields are display-only for services with a CLOSED billing status.

  • The Service Code and Program fields are affected by the registry setting 'Activate Program/Service Code Filter'. If this registry setting is enabled, when editing a service, if the service code is not assigned to the program as an allowable service in Program Maintenance, then users will not be able to edit the Service Code or Program, even if the service is in an open status and does not have any postings against it. To resolve this issue you would have to edit the program in Program Maintenance form and assign the service code to that program which you need to edit. After the service code has been assigned to the program you will be able to edit the service code while its in an open status.

  1. In the Service Code field, enter the service code, click the Search button, and select the corresponding entry.

  2. In the Program field, select the program.

  3. In the Location field, select the location.

  4. In the Duration (Minutes) field, enter the service duration.

  5. The Cost of Service field displays the service fee.

Practitioner

  1. In the Practitioner field, enter the practitioner name, click the Search button, and select the corresponding entry.

  2. In the Co-Practitioner field, enter the practitioner name, click the Search button, and select the corresponding entry.

  3. In the Co-Practitioner Duration (Minutes) field, enter the service duration.

  4. In the Co-Practitioner 2 field, enter the co staff member, click the Search button, and select the corresponding entry.

  5. In the Co-Practitioner 2 Duration (Minutes) field, enter the service duration.

Additional Data

  1. In the 'Diagnosis' fields, enter the ICD-10 code, click the Search button, and select the corresponding entry. Diagnosis fields cannot be edited for services that have been posted.

  2. In the Evidence-Based Practices / Service Strategies (CSI) field, select the service strategies. This field provides additional service information.

  3. In the Additional Service Information field:

    • If Interactive Complexity is present during the service, select Interactive Complexity to have the system also render the Interactive Complexity service code associated to the service code.
      This is only available for service codes that are defined as Evaluation Management, Psychotherapy, or Group Therapy from the service code setup.

    • If psychotherapy is present during the service, select Psychotherapy Add-Onto have the system also render the Add-On Service Code associated to the service code. 
      If selected, enter the service duration in the Psychotherapy Add-On Duration field.
      This is only available for service codes that are defined as Evaluation Management from the service code setup.

  4. In the Add-On Notes field, enter any additional comments.

  5. Click Submit.
