Scenario 1: Validate Upgrading Avatar SF 2022 to 2023 is successful when 2022.04.00 is loaded
Specific Setup:
  • Latest Monthly Release is installed.
Steps
  1. Open the "Product Updates" form.
  2. Select the appropriate [Namespace] from the Application dropdown list
  3. Click [Select Update/Customization Pack].
  4. Browse to the location for the updates and select the Update 1.
  5. Click [OK] on the "File Upload Complete" window.
  6. Click [Review Update/Customization Pack Contents].
  7. Verify Update 1 is included.
  8. Click [Install Update/Customization Pack].
  9. Click [OK] when the install completes.
  10. Click [Close Form].

Scenario 1: AHCA Defaults - workflow
Specific Setup:
  • Setup to process the ‘AHCA File Generation’ form is complete.
  • Client with the necessary data is identified for testing.
  • AHCA Defaults:
  • Note that the 'XML Declaration' field contains '<HC_DATA xmlns:xsi="http://www.w3.org/2001/XMLSchema-instance" xsi:noNamespaceSchemaLocation="http://www.fdhc.state.fl.us/xmlschemas/PD10-5.xsd">'. This field can be edited.
  • Note that the 'Header Segments to Suppress' has pre-selected items for 'CONTACT_PERSON' and 'TRANS_CODE'. This field can be edited.
  • Validate that the 'Record Segments to Suppress' field exists and has no pre-selected values. This field can be edited.
  • The values of the above fields will determine what is output to the 'Dump File' from the ‘AHCA File Generation’ form. Note the values if any of the fields are edited.
Steps
  1. Open ‘AHCA File Generation’.
  2. Select ‘Compile’ in ‘AHCA File Generation Option’.
  3. Enter desired value in ‘Reporting Year’.
  4. Select the ‘Reporting Quarter’.
  5. Select the ‘Submission Type’.
  6. Select the ‘Data Type’.
  7. Enter a ‘File Description’.
  8. Validate that ‘Report Contents’ contains ‘Include Successfully Created Records’.
  9. Click [Process].
  10. Validate that the report opens and contains the data for the client.
  11. Close the report.
  12. Select ‘Dump File’ in ‘AHCA File Generation Option’.
  13. Select the file that was created in ‘Select File’.
  14. Click [Process].
  15. Validate that the report opens and contains the expected XML values.
  16. Close the report.
  17. Close the form.

  1. Select "Client A" and access the 'Alabama ASAIS Discharge Summary' form.
  2. Select the desired assessment in the 'Discharge Which Assessment' field.
  3. Enter the current date in the 'Date of Discharge' field.
  4. Enter the current date in the 'Date of Last Contact' field.
  5. Select desired value in 'Provider Id' field.
  6. Select desired value in 'Completed By' field.
  7. Populate all other required and desired values.
  8. Click [Submit].
  9. Access the 'Alabama ASAIS File Creation' form.
  10. Select "Compile" in the 'Compile Dump Create' field.
  11. Select the value selected in the previous steps in the 'Provider Id' field.
  12. Selected the value selected in the previous steps in the 'Completed By' field.

Steps

  2. Select ‘Create New’ in ‘Action’.
  3. Select desired ‘Service Group Code’.
  4. Select desired ‘Type of Care’.
  5. Enter ‘Service Group Description’.
  6. Select desired ‘Service Code(s)’.
  7. Select desired ‘Guarantor(s)
  8. Click [Submit].
  9. Click [Yes] to remain in the form.
  10. Click [Print Service Groups].
  11. Validate that the data for the new service group is correct.
  12. Close the report.
  13. Select ‘Edit Existing’ in ‘Action’.
  14. Select the new service group in ‘Select Service Group’.
  15. Edit at least one item in the new service group, noting the changes.
  16. Click [Submit].
  17. Click [No] to exit the form.
  18. Renter the ‘ASO Service Groups’ form.
  19. Select ‘Edit Existing’ in ‘Action’.
  20. Select the new service group in ‘Select Service Group’.
  21. Validate that the edited item(s) were successfully saved.
  22. Click ‘Delete Existing’ in ‘Action.
  23. Select the new service group in ‘Select Service Group’.
  24. Click [Yes].
  25. Click [Print Service Groups].
  26. Validate that the new service group does not exist in the report.
  27. Close the report.

  • Admission:
  • Three new clients are admitted in the programs identified above. Two of them are admitted in the different programs but the PRU is same for the program and one of them admitted in the program which is different from the previous two and the PRU is also different. Note the client id/name, admission date, admission program.
  • Diagnosis:
  • The diagnosis record is created for the clients.
Steps
  1. Open the 'Client Admission Report (PAS 44N)' form.
  2. Select a client in the ‘Select Client’ field.
  3. Select an episode from the ‘Episode’ drop down list field.
  4. Verify that ‘HIV State Code’ field is disabled and set to ‘Unknown’.
  5. Populate all required fields.
  6. Populate the ‘ID Consent Date’ field.
  7. Verify that ‘HIV Status Code’ is now enabled and required, with any existing value cleared.
  8. Set ‘HIV Status Code’ to ‘Known to be Negative’.
  9. Populate the ‘ID Consent Revoke Date’ field.
  10. Verify that ‘HIV Status Code’ is disabled and defaulted to ‘Unknown’.
  11. Clear the ‘ID Consent Revoke Date’ field.
  12. Verify that ‘HIV Status Code’ is enabled and required, with any existing value cleared.
  13. Clear the ‘ID Consent Date’ field.
  14. Verify that ‘HIV Status Code’ is disabled and defaulted to ‘Unknown’.
  15. Populate the ‘ID Consent Date’ field.
  16. Set ‘HIV Status Code’ to ‘Known to be Positive’.

  21. Verify that the value in the ‘HIV Status Code’ field is ‘Known to be Positive’, matching the value filed in the ‘Client Admission Report (PAS 44N)’ form.
  22. Populate all required fields.
  23. Submit the form.
  24. Open the 'NYS PAS Form Submission File Creation' form.
  25. Populate the 'Provider ID No' with up to 5 digits.
  26. Set the 'Filter By PRU Number'=No.
  27. Select the month of admission for the clients identified above in the 'Month to report' field.
  28. Set the 'Re-Send Records Previously Sent?'=Yes.
  29. Click [Create File].
  30. Verify the system displays all the records for the client for which the 'Client Admission Report (PAS 44N)' form is filed.
  31. Populate the 'Provider ID No' with up to 5 digits.
  32. Set the 'Filter By PRU Number'=Yes.
  33. PRU Selected By=PRU
  34. Select one of the PRU number created in the setup section where two programs are assigned to same PRU.
  35. Select the month of admission for the clients identified above in the 'Month to report' field.
  36. Set the 'Re-Send Records Previously Sent?'=Yes.
  37. Click [Create File].
  38. Verify the system displays all the records for the client for the selected PRU number and for that program the 'Client Admission Report (PAS 44N)' form is filed for the client.
  39. Populate the 'Provider ID No' with up to 5 digits.
  40. Set the 'Filter By PRU Number'=Yes.
  41. PRU Selected By=Program
  42. Select one of the programs identified in the setup section.
  43. Select the month of admission for the clients identified above in the 'Month to report' field.
  44. Set the 'Re-Send Records Previously Sent?'=Yes.
  45. Click [Create File].
  46. Verify the system displays all the records for the client for the selected Program.
  47. Close the form.
Scenario 2: State Form 'Client Admission Report (PAS 44N)' - Field Validations
Specific Setup:
  • User Definition:
  • Include 'Client Admission Report (PAS 44N)' in 'Chart View'.
  • Facility Defaults:
  • The 'Output Path On Server For Electronic Files' field is set to the location where the output files are stored. Note the path.

  • Set up two programs. First program is a substance abuse program and the second is not a substance abuse program. Note the programs/PRU selected in this field.

  • Admission:
  • Two new clients are admitted in the programs identified above. Note client id / admission date.

Steps

  9. Click 'Client Admission Report (PAS 44N)' link.
  10. Verify the field 'Intellectual Disability/Developmental Disability' is available on the chart.
  11. Open the form 'Client Admission Report (PAS 44N)'.
  12. Select a client that is not enrolled in a substance abuse program.
  13. Select the desired episode.
  14. Verify the 'County Of Residence Is A MATS County' field is enabled and not required.
  15. Click [Discard].
  16. Click [Yes].
  17. Locate to the 'Chart View' of the client.

  • An existing program is identified, or a new program is created for testing. Set field 'Extended Dictionary Value (Single Dictionary)' of '(20090) PROS Component Definition for Program' to "CRS, ORS, CT, IR". Note the program code/value.
  • Client:
  • Two existing clients are identified. Note client ids.
  • Pros Program Participation Definition:
  • Add/create some rows with 'Program' value equal to program chosen in step 1 and "All programs (All)"
Steps
  1. Open the 'PROS Encounter' form.
  2. Enter the desired ‘Date’.
  3. Select the desired ‘Client ID’ for Client 1.
  4. Verify that the ‘Episode Number’ defaulted if the client has one episode. Select the desired episode if the client has more than one episode.
  5. Enter the desired ‘Signed In’ time.
  6. Enter the desired ‘Signed Out’ time.
  7. Click [Choose Program Participation].
  8. Validate that the resulting table displays rows with matching 'Program' and program "All programs (All)" defined in the 'PROS Program Participation Definition'.
  9. Click [Save].
  10. Click [Yes].
  11. Validate that 'Program Participation (hours)' are displayed as 'hh:mm:ss' format, such as '05:00:00'.
  12. Enter the desired 'Service Participation' values.
  13. Click [Enter Service].
  14. Complete desired fields.
  15. Click [Submit].
  16. Click [Yes].
  17. Click [OK].
  18. Click [Check Services].
  19. Validate that the service is included in the report with the correct fee information.
  20. Close the report.
  21. Click [Submit].

  • Set up three programs. Note the programs/PRU selected in this field.
  • Select State Form = New York State Client Admission Report (PAS 44N)
  • Select State Form Data Element = Program No. (10001)
  • State Form Text Value - Desired value. Note the value.
  • Admission:
  • Three new clients are admitted in the programs identified above. Two of them are admitted in the different programs but the PRU is same for the program and one of them admitted in the program which is different from the previous two and the PRU is also different. Note the client id/name, admission date, admission program.
  • Diagnosis:
  • The diagnosis record is created for the clients.
Steps
  1. Open the 'Client Admission Report (PAS 44N)' form.
  2. Select a client in the ‘Select Client’ field.
  3. Select an episode from the ‘Episode’ drop down list field.
  4. Verify that ‘HIV State Code’ field is disabled and set to ‘Unknown’.
  5. Populate all required fields.
  6. Populate the ‘ID Consent Date’ field.
  7. Verify that ‘HIV Status Code’ is now enabled and required, with any existing value cleared.
  8. Set ‘HIV Status Code’ to ‘Known to be Negative’.
  9. Populate the ‘ID Consent Revoke Date’ field.
  10. Verify that ‘HIV Status Code’ is disabled and defaulted to ‘Unknown’.
  11. Clear the ‘ID Consent Revoke Date’ field.
  12. Verify that ‘HIV Status Code’ is enabled and required, with any existing value cleared.
  13. Clear the ‘ID Consent Date’ field.
  14. Verify that ‘HIV Status Code’ is disabled and defaulted to ‘Unknown’.
  15. Populate the ‘ID Consent Date’ field.
  16. Set ‘HIV Status Code’ to ‘Known to be Positive’.
  17. Submit the form.
  18. Open the ‘Client Discharge Report (PAS 45N)’ form.
  19. Enter the client in the ‘Select Client’ field matching the client used in the ‘Client Admission Report (PAS 44N)’ form.
  20. Select the same episode from the ‘Episode’ drop down list field as used in the ‘Client Admission Report (PAS 44N)’ form.
  21. Verify that the value in the ‘HIV Status Code’ field is ‘Known to be Positive’, matching the value filed in the ‘Client Admission Report (PAS 44N)’ form.
  22. Populate all required fields.
  23. Submit the form.
  24. Open the 'NYS PAS Form Submission File Creation' form.
  25. Populate the 'Provider ID No' with up to 5 digits.
  26. Set the 'Filter By PRU Number'=No.
  27. Select the month of admission for the clients identified above in the 'Month to report' field.
  28. Set the 'Re-Send Records Previously Sent?'=Yes.
  29. Click [Create File].
  30. Verify the system displays all the records for the client for which the 'Client Admission Report (PAS 44N)' form is filed.
  31. Populate the 'Provider ID No' with up to 5 digits.
  32. Set the 'Filter By PRU Number'=Yes.
  33. PRU Selected By=PRU
  34. Select one of the PRU number created in the setup section where two programs are assigned to same PRU.
  35. Select the month of admission for the clients identified above in the 'Month to report' field.
  36. Set the 'Re-Send Records Previously Sent?'=Yes.
  37. Click [Create File].
  38. Verify the system displays all the records for the client for the selected PRU number and for that program the 'Client Admission Report (PAS 44N)' form is filed for the client.
  39. Populate the 'Provider ID No' with up to 5 digits.
  40. Set the 'Filter By PRU Number'=Yes.
  41. PRU Selected By=Program
  42. Select one of the programs identified in the setup section.
  43. Select the month of admission for the clients identified above in the 'Month to report' field.
  44. Set the 'Re-Send Records Previously Sent?'=Yes.
  45. Click [Create File].
  46. Verify the system displays all the records for the client for the selected Program.
  47. Close the form.
Scenario 2: Client admission report - Validating database record lock functionality
Specific Setup:
  • Admission (Outpatient):
  • A new client is admitted into two episodes for two different Outpatient programs. Please note client id, admission date and admission program.
  • Diagnosis:
  • A diagnosis record is added for the client for the first episode.
Steps
  1. Open the 'Client Admission Report (PAS 44N)' form.
  2. Select the client set up in the setup section and episode1.
  3. Exit the form without submitting.
  4. Reopen the 'Client Admission Report (PAS 44N)' form for the same client.
  5. Attempt to select episode1 again.
  6. Verify the database lock error does not display.
  7. Start another instance of Avatar so you have 2 running.
  8. In the 1st Avatar instance, open the 'Client Admission Report (PAS 44N)' form.
  9. Select the same client and episode 1.
  10. In the 2nd Avatar, attempt to do the same thing.
  11. Verify an exclusive lock error is shown, and the episode cannot be selected.
  12. In the 1st Avatar instance, change the episode from 1 to 2.
  13. Go to the 2nd Avatar instance.
  14. Attempt to select episode 1.
  15. Verify that episode 1 can be selected successfully.
  16. Attempt to select episode 2, and the lock error is displayed and the 'Episode' field changes back to episode 1.
  17. Verify in the 1st Avatar, that episode1 cannot be selected with a lock error.
  18. Exit the form in the 2nd Avatar instance without filing.
  19. Go to the 1st Avatar instance.
  20. Verify in the 1st Avatar that episode 1 can be selected successfully.
  21. Enter all required fields in the form.
  22. Click [Submit].
  23. Verify the message box saying 'NYS PAS Form Filed.' is presented.
  24. Leave that up.
  25. Go into the 2nd Avatar instance.
  26. Verify the episode 1 cannot be selected.
  27. Go into the 1st Avatar instance,
  28. Click [OK] to the message box.
  29. Verify another message box for re-entry into the form.
  30. Leave that message box up.
  31. Go into the 2nd Avatar instance.
  32. Select episode 1 for the client.
  33. Verify that episode 1 can be selected successfully and the data filed in the 1st Avatar instance defaulted into the 2nd instance.
  34. Go back to the 1st Avatar instance.
  35. Re-enter the form.
  36. Select episode 1 and the lock error displayed.
  37. Close the form.
