How to use Autosync Functionality - PM

Autosync functionality allows you to manage certain codes across multiple facilities from a single source. Any changes made to the specified codes in the Master Facility will automatically be synced to the other facilities.

Prerequisites:

  • Ensure that autosync functionality is turned on by setting the Enable (Autosync) registry setting to Y.
  • Ensure that a Master Facility from your BUILD system code has been identified in the Autosync Facility registry setting.
  • Ensure that you have access to the BUILD system code (User Definition form).
    Note: Once you have enabled Autosync and it is set up for your BUILD system code (Master Facility), you will no longer be able to make any changes to any dictionaries in your other system codes. Attempting to editing a dictionary from another system code will result in this message: "Selected Data Element can only be updated within the autosync Master Facility"
  1. Log in to your BUILD system code to access the Autosync Maintenance form. This form can only be accessed through BUILD.
  2. In Autosync Maintenance, define the codes to include in the Autosync functionality. When finished, click File Settings.
  3. If you have myAvatar Order Entry and have enabled Autosync for order codes, you can define exceptions for these codes in the Order Code Settings By Root System Code (Auto-Sync) form.
  4. Next, go to System Task Scheduler to define the schedule for how frequently the Autosync process should be run.
  5. Make updates to the selected codes in your Master Facility through the appropriate forms. Those changes will be passed on to the other system codes automatically when the process runs.

Example

Ethnic Origin is a dictionary that corresponds to a field on the Admission form.

  1. To update this dictionary with Autosync, go to the Autosync Maintenance form.
  2. Select Dictionary Codes in the Autosync Code Type field, and Avatar PM Client in the Dictionary Entity Database field.
  3. Click Launch Dictionary List and make sure that Ethnic Origin is selected. Then click File Settings.
  4. In the BUILD system code, open the Dictionary Update form.
  5. Add a new dictionary code/value to Ethnic Origin. In this example, the added value is "6 - ADDING NEW CODE."
  6. Once the Autosync process has run (according to the schedule identified in System Task Scheduler), you can open the Admission form from any system code, and under the Demographics section you will see the change made in BUILD.
