Process ERA file
Path: Transactions>General>ERAs
Prerequisite: You have downloaded the ERA file from the payer's system.
For the general overview of ERA, see Electronic Remittance Advice (ERA) processing stages and About Electronic Remittance Advice (ERA) processing logic
- Go to Transactions>General>ERAs.
- In the Type of File drop-down list, select the type of the ERA file to preview.
- In the File Name field, select the ERA file you want to view or apply.
- In the Deposit Date field, enter the date on which the payments and adjustments from the file should be deposited.
- Specify whether to apply the payments, adjustments, or both by selecting one of the appropriate radio buttons.
- Specify whether to apply payer denial adjustments by selecting the corresponding check box. Note: The Apply Payer Denial Adjustments to AR check box is active only when the Apply Both or Apply Adjustments radio button is selected.
- Click Process File to view the contents of the ERA file and check it for errors.
- If the file contains no errors, proceed with the next step.
- If you got an error that the patient ID and claim ID are invalid and the Business Unit cannot be determined by claim ID, see ERA Troubleshooting.
- If the file contains fatal errors, you cannot apply the ERA file. In this case, you must re-download the file from the payer (for more information, see ERA fatal errors).
- If needed, click the ERA File tab to view the structure of the actual ERA file (see ERA File tab).
- To preview the reports about the data that will be updated and the file errors before applying the ERA file, click Preview Report.
- Click Apply to apply the payments, adjustments, or both (depending on the option selected) from the ERA file. This button is disabled if there are no transactions in the file to apply – all transactions are either already posted or in error.
Payments, adjustments, and denial adjustments for all claims from the ERA file are applied to the Homecare database except for those with detail errors.
The Remittance Advice report is automatically generated. The application also releases any related CSP claims that have a zero balance at this stage.
