Progress Notes - Editing Appointments after Autosave
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
- Admission
- Clinical Document Viewer
- Document Routing Setup (PM)
- HomeView - My To Do's widget
- Progress Notes (Group and Individual)
- Scheduling Calendar - Find Existing Appointment
- Scheduling Calendar - Find New Appointment
- Set System Defaults (CWS)
- Site Specific Section Modeling (CWS)
- User Definition
- Dynamic Form - Admission - Client
Scenario 1: Progress Notes (Group and Individual) - Validate document routing
Specific Setup:
- Document routing must be enabled for the "Progress Notes (Group and Individual)" form.
Steps
- Open the "Progress Notes (Group and Individual)" form.
- Create and finalize a document.
- Sign the document.
- Using "Clinical Document Viewer", view and print the document.
- Validate the document displays and prints.
- Open the "Progress Notes (Group and Individual)" form.
- Create and route a progress note to an approver.
- Sign on as the approver.
- Locate the document in the approver's "My To Do's" widget.
- Click on "Approve Document" and approve the document.
- Using the "Clinical Document Viewer", view the document that was just approved.
- Open the "Progress Notes (Group and Individual)" form.
- Create and route a note to multiple approvers.
- Sign on as the first approver.
- Locate the document in the approver's "My To Do's" widget.
- Click on "Approve Document".
- Click "Accept".
- Enter the approver's password.
- Log on as another approver.
- Locate the document in the approver's "My To Do's" widget.
- Click on "Approve Document".
- Click "Accept".
- Enter the approver's password.
- Open the "Clinical Document Viewer" form.
- Select the document that was just routed/finalized.
- Validate that the document displays and prints.
- Open the "Progress Notes (Group and Individual)" form.
- Create a progress note and route to several approvers.
- Log on as another approver.
- Locate the document in the approver's "My To Do's" widget.
- Click on "Approve Document".
- Click "Accept".
- Enter the approver's password.
- Repeat steps 11b-12c for each additional approver.
- Open "Clinical Document Viewer".
- Validate the document that was just filed display and prints.
Scenario 2: Scheduling Calendar - Autosave Progress Notes (Group and Individual) - PCL - Appointment Edited
Specific Setup:
- Using "Set System Defaults" to turn on Auto save for the "Progress Notes (Group and Individual)" form.
- In the "User Definition" form, give the user access to the "Progress Notes (Group and Individual) form in the "Appointment Scheduling" section.
- Admit or select an existing test client.
- Using "Site Specific Section Modeling" form from the CWS menu, enable the "Co-Practitioner", "Co-Practitioner Duration (Minutes)", "Co-Practitioner 2", and "Co-Practitioner 2 Duration (Minutes)" fields to the "Progress Notes (Group and Individual)" form.
Steps
- Using "Site Specific Section Modeling" form from the CWS menu, select the "Progress Notes (Group and Individual) form and edit the "Service Duration" field to add Product Customer Logic to "Use as First Field to Calculate Duration".
- Open the "Scheduling Calendar" form.
- Right click on an open appointment slot (or use the "Find New Appointment" button) to select an appointment slot.
- Click [Add Appointment].
- Add an appointment for the test client.
- Notice the service duration value.
- Populate the "Co-Practitioner" and Co-Practitioner 2" fields with the same duration as service duration.
- Save the appointment.
- Select the same appointment on the appointment calendar.
- Right Click on it.
- Select "Progress Notes (Group and Individual)" from the drop down menu.
- Validate the appointment details have populated the note.
- Click "Backup" button to AutoSave the document.
- Click "Discard" to return to the Scheduling Calendar.
- Select the appointment again.
- Click "Details/Edit".
- Change the "Service Duration", "Co Practitioner Duration (Minutes), and "Co-Practitioner 2 Duration (Minutes)" fields.
- Validate it changes the start/end times.
- Save the changes.
- Select the appointment again.
- Right Click on it.
- Select "Progress Notes (Group and Individual)" from the drop down menu.
- Validate the appointment duration(s) have changed for the duration fields that don't have PCL applied.
- Using "Site Specific Section Modeling" form from the CWS menu, edit the "Co-Practitioner Duration (Minutes)" field to add Product Customer Logic to "Use as First Field to Calculate Co-Practitioner".
- Open the "Scheduling Calendar" form.
- Right click on an open appointment slot (or use the "Find New Appointment" button) to select an appointment slot.

- Save the changes.
- Select the appointment again.
- Right Click on it.
- Select "Progress Notes (Group and Individual)" from the drop down menu.
- Validate the appointment duration(s) have changed for the duration fields that don't have PCL.
Scenario 3: Scheduling Calendar - Delete Appointment After Autosave - Progress Notes (Group and Individual)
Specific Setup:
- Using "Set System Defaults", set up Autosave for the Progress Notes (Group and Individual).
- Using "User Definition", from the Appointment Scheduling location, set up the forms to be accessed from the "Scheduling Calendar" form.
- Admit or select a test client who has an outpatient episode.
Steps
- Open the "Scheduling Calendar" form.
- Schedule an appointment for the test client.
- Right click on the appointment that was just scheduled.
- Select the "Progress Notes (Group and Individual)" from the drop down menu.
- Create a note.
- Autosave the note by clicking the [Backup] button.
- Discard the note.
- Right click on the appointment again.
- Click [Delete] to delete the appointment.
- Validate the appointment has been removed from the calendar.
- Click [Dismiss].
- Open the "Progress Notes (Group and Individual)" form.
- Validate a message pops up indicating the note was autosaved.
- Validate a message pops up indicating "The appointment/service associated with the selected backup is no longer available. Would you like to continue as an 'Independent Note'.
- Click [Yes].
- Finalize the document as an independent note.
- Open the "Scheduling Calendar" form.
- Schedule an appointment for the test client.
- Right click on the appointment that was just scheduled.
- Select the "Progress Notes (Group and Individual)" from the drop down menu.
- Create a note.
- Autosave the note by clicking the [Backup] button.
- Discard the note.
- Right click on the appointment again.
- Click [Delete] to delete the appointment.
- Validate the appointment has been removed from the calendar.
- Click [Dismiss].
- Open the "Progress Notes (Group and Individual)" form.
- Validate a message pops up indicating the note was autosaved.
- Validate a message pops up indicating "The appointment/service associated with the selected backup is no longer available. Would you like to continue as an 'Independent Note'.?
- Click [No].
- Click "Existing Appointment" in the "Progress Note For" field.
- Finalize the note.
