Bar Coding in Avatar eMAR

Record and verify medication information from scanned bar codes.

  • The myAvatar eMAR bar coding functionality is part of the closed-loop medication management process in conjunction with myAvatar Order Entry and RxConnect. Refer to the Bar Coding Workflow for details about this process. 
  • Bar coding can be used for administering individual and multiple orders.
  • When the nurse scans a medication bar code, myAvatar eMAR looks for a match with an order from myAvatar Order Entry by using the Placer Order # within the bar code being scanned. If there is a match between the order from myAvatar Order Entry and the Placer Order # in the bar code, the order displays on the eMAR screen.
  • On the eMAR Main form, the following fields are capable of receiving input via bar code scans:
    • Client
    • Med ID
  • On the eMAR Administration Event form, the following fields are capable of receiving input via bar code scans:
    • Medication ID
    • Quantity
    • Administration Event
    • Administered By
    • Witnessed By
    • Site
    • Route
    • OK button
    • Cancel button
  • Refer to eMAR Bar Coding Prefixes Requirements for the prefixes required for the above fields on the eMAR Main form and eMAR Administration Event form to receive bar code input.
  • Avatar eMAR supports scanning bar code labels that are encoded to identify preparations that are dispensed as IV orders. 
  • IV bar code labels are used by Avatar eMAR for order selection and for Medication Checking functionality. 

Prerequisites:

  • Install a required RADplus middleware/client upgrade or patch in conjunction with myAvatar eMAR 2007 Enhancement 19 in order for the bar coding and medication/quantity checking features to be functional.
  • Install a required RADplus middleware patch in conjunction with myAvatar eMAR 2007 Enhancement 32 to support scanning IV bar code labels.
  • Set the Use Override Code - IV Barcode Labels registry setting to 'Y' to display the Override Code field on warning messages for IV bar codes.
  • For the IV Barcode Label Override Reason dictionary data element, set the extended attribute Require Override Text With This Override to Yes to make the Override Text field required on warning messages for IV bar codes.
  • Set the Support Medication ID registry setting to 'Y' to display the Med ID field in Avatar eMAR.
  • Set the Enable Medication and Quantity Checking registry setting to '1' (Medication Checking only) or '3' (Both Medication and Quantity Checking. 
    Note: Sequence checking for IVs will not occur unless this registry setting contains a value of '1' or '3'.

Scanned Data

The nurse scans the bar code that contains the myAvatar Client ID. The client's picture, date of birth, height, weight, and allergies are imported into myAvatar eMAR. This information confirms that the correct client has been selected.

After scanning the bar coded medication, myAvatar eMAR attempts to locate the client's order that matches the scanned medication.

  • If a matching order is not found, an error message displays.
  • If a matching order is found, the eMAR Administration Event dialog for the order displays.
  • If several matching orders are found, the order closest to the scheduled Hour of Administration is displayed. This window of time can be defined in the Allow Administration Events For ___ of Minutes registry setting.
