Change Family Activation Date - Cal-PM

Use this form to change a family's activation date. If excess UMDAP liability that occurs when the activation date is changed, it can also be adjusted here.

Prerequisite:


  1. Go to: Avatar PM > Client Management > Family and UMDAP Management > Change Family Activation Date
  2. In the Select Family field, enter the family name and select the Search button.
  3. Select the matching family from the list and select the Select button.
  4. The Family Activation Date field displays the family activation date entered in the Family Registration form.
  5. In the New Family Activation Date field, enter the date. Depending on the status of posted services, a dialog may display:
    • When services that have been rendered and posted for all family members have an billing status of OPEN:
      • The UMDAP effective dates will be updated.
      • The family registration date, and UMDAP year start and end dates will be updated.
      • No transfer of liability is required. If any of these services are now outside of UMDAP eligibility, the liabil­ity will be removed from UMDAP and placed on the next available guarantor.
      • To avoid moving liability to the next available client guarantor, a new entry must be added to the Family Registration form (UMDAP Information section) that can cover the associated charges.
    • When closed charges rendered at the end of the original UMDAP year will not be covered by UMDAP eligibility:
      • The UMDAP effective dates will be updated due to UMDAP anniversary date changes. Charges would be in unassigned UMDAP years. UMDAP entries for those time periods will be generated, based on existing UMDAP entries. The new entries must be approved
      • These charges will be updated for the new effective dates.
      • A new entry will be added that will cover charges not covered by the new effective dates. This entry will populate from the Family Registration form (UMDAP Information section).
      • The entry must be approved to be effective (Family Registration form).
    • When closed charges in the original UMDAP year exceed the allowable amount for the new dates:
      • The dialog lists the total dollar amount to be adjusted.
      • The UMDAP effective dates will be updated based on the new annual anniversary date. The family liabilities exceed the allowable amount. Services must be adjusted to reduce the family's UMDAP responsibility within the allowable amount, based on the new annual UMDAP parameters.
      • This can occur when charges posted in two UMDAP years are moved in to the same UMDAP year.
      • Charges must be adjusted by write off, or by transfer to another guarantor (Adjust Excess UMDAP Charges section of this form).
