Run PECOS Utility

Path: Administration>Utilities>PECOS Utility

  1. Open the PECOS Utility (Administration>Utilities>PECOS Utility or run NetsmartPECOSUtility.exe).
  2. In the Connection to Database section, ensure that the status is Connected and the appropriate database is selected.
  3. If you run the utility from the application menu, the connection is set automatically.
  4. If you run the utility as a standalone executable, the first time you will need to set the connection manually.
    1. Click Setup Connection.
    2. Locate the MHCServer.ini file on the server.
    3. Click Open.
    4. Click Connect.
    5. Note: When you run the utility from the Server\Utilities folder, it automatically locates the MHCServer.ini file.
  5. Click Load New PECOS Data from File.
  6. Locate the .zip file downloaded from CMS and click Open.
    1. At the bottom of the window, the progress bar indicates the file processing progress. It may take a few minutes depending on the size of your database. When the processing completes, if the resource's NPI is listed in the PECOS database, the PECOS Enrolled field in Resource>General>Basic for this resource is set to Yes.
  7. On the Individual Search tab, you can enter the resource name or NPI number to do a quick search for a particular resource in the file downloaded from CMS
    1. Note: If searching by NPI, remember to enter individual, not group NPI.
  8. On the Name Discrepancy tab, you can view the resources with discrepancy between first and last names in Netsmart Homecare and first and last names in the PECOS file. You may replace the database names with the PECOS file names by clicking the Update NHC Names button.
    1. Note: Even if any name discrepancy is found, the resource still becomes PECOS enrolled.
  9. You can click the Reports tab and preview the following reports:
    1. List of Resources without NPI – Resources from your database that do not have individual NPI entered in Resource>General>Roles.
    2. List of Resources with NPI not listed in PECOS Database – Resources from your database that have NPI not listed in the file downloaded from CMS.
    3. List of Resources with NPI listed in PECOS Database and with Discrepancy in Names –Resources from your database that have NPI listed in the file downloaded from CMS but that have differences in their first or last name. (Such resources are considered PECOS enrolled.)
