Medication Messages during inbound HL7 Hospice Pharmacia Processing

The tables below define the three types of medication messages that may be displayed with inbound HL7 processing:

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the route is correct for medication {medication name}

Medication route from the HL7 message is not specified in Administration>Clinical> Medication Routes window

There may be more than one medication in the HL7 message in which case it may be difficult to identify the specific medication to be verified. Please check all medications in the message. If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message), if you select the option to Allow empty dose, route, units and frequency for MediSpan medications, then the error changes to a Warning and if the option to Auto Complete "With Warnings" is selected, the data will be imported.

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the route is correct for medication {medication name}

Option Allow empty dose, route, units and frequency for MediSpan medications is not selected on Administration>Configuration>   HL7>General window and HL7 message contains an empty value for a medication route

If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message), if you select the option to Allow empty dose, route, units and frequency for MediSpan medications, then the error changes to a Warning and if the option to Auto Complete "With Warnings" is selected, the data will be imported.

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the dose is correct for medication {medication name}

Option Allow empty dose, route, units and frequency for MediSpan medications is not selected on Administration>Configuration>HL7 >General window and HL7 message contains an empty value for a medication dose

If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message), if you select the option Allow empty dose, route, units and frequency for MediSpan medications, then the error changes to a Warning and if the option to Auto Complete "With Warnings" is selected, the data will be imported.

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that

the frequency is correct for medication {medication name}

System can not find the appropriate Netsmart Homecare value for medication frequency in the mapping table from Administration>Clinical> Medication Frequencies window for the frequency abbreviation from the HL7 message. Option Allow empty dose, route, units and frequency for MediSpan medications is not selected on Administration>Configuration>   HL7>General window.

Add any abbreviations commonly used by your vendor to Administration>Clinical>Medication Frequencies>HL7 abbreviation field. These abbreviations will prevent the error messages due to unknown frequencies. If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message), if you select the option to Allow empty dose, route, units and frequency for MediSpan medications, then the error changes to a Warning and if the option to Auto Complete "With Warnings" is selected, the data will be imported.

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the frequency is correct for medication {medication name}

System found more than one Netsmart Homecare value for medication frequency in the mapping table from Administration>Clinical>Medication Frequencies window by frequency abbreviation from HL7 message. Option Allow empty dose, route, units and frequency for MediSpan medications is not selected on Administration>Configuration> HL7 >General window.

If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message), if you select the option to Allow empty dose, route, units and frequency for MediSpan medications, then the error changes to a Warning and if the option to Auto Complete "With Warnings" is selected, the data will be imported.

Please add the end date and time in the Edit HL7 message (Patient>Patient's Medications tab) for medication {medication name}

Discontinue date and time is not specified in the HL7 message. Message appears only in case of discontinued medication.

If Auto Complete is on, the medication will be not be imported into Patient>Clinical>Medications

The medication {medication name} cannot be populated into Patient>Clinical>Medication s because either this is an update (change or discontinue) to a Medication and the Medication never existed in Patient>Clinical>Medication s or the medication is currently on hold. Either enter the original medication details or release the hold and then the message can be completed in Edit HL7

Use Medi-Span option is selected on Administration>Configuration> Business Units>Settings>Medi-Span window and option Use GPI code for identification of a medication is selected on Administration>Configuration> HL7

>General window. GPI code for medication is empty in the HL7 message. System can not find medication by specified GPI code for the specified patient or the medication is set on hold in Patient>Clinical>Medications window for the specified patient.

There are possibly more than one medication in the HL7 message. User will not be able to identify which medication the message corresponds to. If Auto Complete is ON, the medication will NOT imported into Patient>Clinical>Medications (Error message)

The medication {medication name} cannot be populated into Patient>Clinical>Medication s because either this is an update (change or discontinue) to a Medication and the Medication never existed in Patient>Clinical>Medication s or the medication is currently on hold. Either enter the original medication details or release the hold and then the message can be completed in Edit HL7

NDC code for medication is empty in the HL7 message and the system cannot find the medication by specified NDC code for the patient.

If the Use Medi-Span option is not selected in Administration>Configuration> Business Units>Settings>Medi-Span, then medication is searched only in the set of medications that were defined for specified Business Unit and not additionally in the set of Medi-Span medications. System can not find medication by specified GPI code for the specified patient or medication is set on hold on

the Patient>Clinical>Medications window for specified patient.

If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message).

The medication {medication name} cannot be populated into Patient>Clinical>Medication s because either this is an update (change or discontinue) to a Medication and the Medication never existed in Patient>Clinical>Medication s or the medication is currently on hold. Either enter the original medication details or release the hold and then the message can be completed in Edit HL7

1. This is an update message and the medication does not currently exist in Patient>Clinical>Medications

2. The medication is currently on hold

If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message)

The medication cannot be populated into Patient>Clinical>Medication s because the HL7 message does not contain the correct GPI code. Please contact your vendor to obtain the correct GPI code and then Edit HL7 message (Patient>Medications>GPI code field) and Complete

1.  Use Medi-Span option is selected on Administration>Configuration> Business Units>Settings>Medi-Span window and option Use GPI code for identification of a medication is selected on Administration>Configuration>HL7>General window.

2.  GPI code for medication is empty in the HL7 message and the system cannot find the medication without the GPI code.

If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message)

The medication {medication name} cannot be populated into Patient>Clinical>Medication s because the HL7 message does not contain the correct NDC code. Please contact your vendor to obtain the correct NDC code (or edit  Administration>Clinical>Medications) and then Edit HL7 message (NDC code field on Patient>Patient's Medications tab) and complete

NDC code for medication is empty in the HL7 message and the system cannot find the medication. If Use Medi-Span option is not selected on Administration>Configuration> Business Units>Settings>Medi-Span window, then the medication is searched for only in the set of medications which were defined for the specified Business Unit and not searched additionally in the set of Medi-Span medications.

Review with the vendor who sent the message. If Auto Complete is on, the medication will not be imported into Patient>Clinical>Medications (Error message)

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the frequency is correct for medication {medication name}

Frequency value from the HL7 message or entered by the user on Edit HL7 is not defined on the Administration>Clinical> Medication Frequencies window.

If Auto Complete is on, the medication will not imported into Patient>Clinical>Medications (Error message)

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the unit is correct for medication {medication name}

1. Option Allow empty dose, route, units and frequency for MediSpan medications is NOT selected on Administration>Configuration>HL7>General window and the HL7 message contains an empty value for medication units 2.

The specified units is not defined on the Administration>Clinical>Medication Units window

Add to Administration>Clinical> Medication Units window If Auto Complete is ON, the medication will NOT imported into Patient>Clinical> Medications (Error message) IF select the option to Allow empty dose, route, units and frequency for MediSpan medications, then the error changes to a Warning and if the option to Auto Complete "With Warnings" is selected, the data will be imported.

There is more than one medication found for the specified NDC code. This could be the same medication but with a different details. You may wish to discontinue the previous medication If Auto Complete is ON, With Warnings) the medication will be imported
into Patient>Clinical>Medications

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the route is correct for medication {medication name}

Route value is empty in the HL7 message or Route value is valid but not defined as default for the specified medication on the Administration>Clinical>Medications window

Add the default value to the medication if this is a non Medi-Span med via Administration>Clinical>Medications, Non-Medispan (Editable) window If Auto Complete is ON, (With Warnings) the medication will be imported into Patient>Clinical>Medications IF the option to Allow empty dose, route, units and frequency for MediSpan medications is also selected.

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the frequency is correct for medication {medication name}

System can not find appropriate value for medication frequency in the mapping table from Administration>Clinical>Medication Frequencies window for frequency abbreviation from HL7 message. Option Allow empty dose, route, units and frequency for Medi
Span medications
is selected on Administration>Configuration>HL7>General window.

If Auto Complete is ON, (With Warnings) the medication will be imported into Patient>Clinical>Medications

Warning, please review Patient>Clinical >Medications because the same medication {medication name} already exists for the patient.

There is more than one medication found for the specified NDC code.

This could be the same medication but with a different details. You may wish to discontinue the previous medication If Auto Complete is ON, With Warnings) the medication will be imported into Patient>Clinical>Medications.

Please verify with your vendor that the appropriate medication action was sent. We only support New, Changed and Discontinued medication messages

Incorrect action type specified in the ORC-1 field of OMP^O09 HL7 inbound message. Possible values: “NW” - insert, “XR” - update, “OD” - discount.

NO data is imported NB * This may be changed to an Error message

Please verify in the Edit HL7 message (Patient>Patient's Medications tab) that the route is correct for medication {medication name}

Medication route from the HL7 message is not specified in Administration>Clinical>Medication Routes window

If Auto Complete is ON, (With Warnings) the medication will be imported into Patient>Clinical>Medications

Warning: The Business Unit was not specified, so the default Business Unit will be used

The default Business Unit as specified in Administration>Configuration>HL7>General>Inbound Processing will be used

If Auto Complete is ON, (With Warnings) the medication will be imported into Patient>Clinical>Medications

Type: Fatal Error
Message Cause Comments
HL7 message does not contain any medication data or internal error appeared and the message cannot be completed. Please contact the vendor who initiated the message. There were no medications data retrieved from the message Add to Administration>Clinical>Medication Units window If Auto Complete is ON, the medication will NOT imported into Patient>Clinical>Medications (Error message) IF select the option to Allow empty dose, route, units and frequency for Medi
Span medications
, then the error changes to a Warning and if the option to Auto Complete “With Warnings” is selected, the data will be imported.
