Create a letter in Homecare
Path: Query > Reports
Although the steps outlined in this document are for the creation of bereavement letters, the same method can be used to generate other types of letters as well.
- From the menu bar, access Query.
- On the Reports tree on the left side of the screen, click Bereavement Mailing and leave it highlighted. This is where you will save the letter.
- Click the new icon (paper icon) on the top left corner of the toolbar.
The Report Wizard opens with Letter as the default template. - Click Next.
- Select Bereavement Mailing, and then click Finish to continue.
After you select Finish, the Report Designer opens. - Click Report on the menu bar.
- From the Report drop-down list, click Footer to deselect it if a footer is not required.
- Place the cursor on the Detail line and "grab" it by holding down the left mouse button and pulling the line down to make the Detail field larger.
- Click the rich text box icon (page with red A) to identify the area that the letter will occupy.
Note: Use the rich text box icon (with the red A) when you want the ability to format your text with bold, underline, italics, etc. Use the text box icon (with no A) when unformatted text is all that is needed. - Click in the Detail field and a RichText1 box will appear.
To expand the size of the rich text box, click on the black boxes in the corners or on the sides. - Once the box is the desired size right click inside the box and select Edit.
The Rich Text Editor window will open. In this box, a new letter can be written or an existing letter can be loaded. - In the Rich Text Editor window:
- Type {Print_Letter_Address} within the brackets as shown.
- Remove the date and type {Today}.
- Remove the salutation from the existing letter and type {Salutation} in place of the recipient's first name.
- To load an existing letter, access File > Open and select the desired letter.
- Highlight the appropriate text file.
- Once the file appears in the File Name field, click Open to load the letter. An outline of the selected letter will appear in the Rich Text Editor window.
- Click OK.
- Close the window and select Yes to save changes.
- When the Save to Letters window opens, type in the Item Name field to identify the letter.
- Click the Preview tab to view the letter that was created.
