View and complete a Timesheet

You can enter client services, staff (non-client) events, and time-off events in various places in your timesheet.

Accessing Timesheets 

You can access your timesheet in either of the following ways: 

  • Staff Look Up Their Own Information window - View your timesheet for the current week.
  • My Timesheets widget - View all timesheets that have not been submitted for approval or have been returned.
Access a timesheet in the Staff Look Up Their Own Information window 

View the timesheet for only the current week.

  1. Click the staff name button in the top right corner of the taskbar.
    System result: The Staff Look Up Their Own Information window is displayed.
  2. Click the Timesheets tab.
    System result: The timesheet for the current week displays.

Note: The Time Off/Vacations and Staff Non-Client Services contain read-only lists of their respective events. These events must be edited in Timesheets or the Staff Calendar.

Access a timesheet in the My Timesheets widget 

View all timesheets that are not submitted or are returned.

  1. In the toolbar, click the myEvolv Launcher button.
  2. Scroll down to the My Timesheets widget.
    System Result: The system displays the list of timesheets that have not been submitted or have been submitted and returned.
  3. In the My Timesheet widget, click a date listed to open that timesheet.
    • The timesheet displays all the services and events that have taken place in this week by the staff member selected.
    • Total Hours are displayed for the week and for each day.

Enter Information in a Timesheet 

Note: The following types of events can be entered and will display in a timesheet (regardless if entered via the timesheet or not):

  • Scheduled services
  • Completed services
  • Time-Off Events
  • Staff (Non-Client) Activities 
  • Support Group services (Read-Only)
  1. From the My Timesheet widget, click a date listed.
  2. Under the People/Group column, click the  Add New link and select an option:
    • Client Service - Enter a service for your clients. Note that worker role security applies here. 
    • Staff/Non-Client Service - Enter events set up by your System Administrator for the purpose of tracking non-client time. Examples are general administrative tasks, paperwork, and so on.
    • Staff Time Off - Enter sick, personal, vacation time, and so on. To count this time against your work week, use the start time of your work day and include your normal work hours for duration, for example 07:00 for 7 hours.
  3. Click Save.
Enter Time for a Client Service
  1. To enter time for a client service, click Add New > Client Service.
  2. In the Staff to Client Program Services window, search for a client.
    System Result: The system displays a list of available services. 
  3. Select a client and service.
    System Result: Depending on your selection of service, forms are displayed requiring additional information.
  4. Complete the relevant information and the required fields including the facility, date, times, and duration of services performed.
  5. Click Save.
Enter Time for a Staff/Non Client Service
  1. To enter time for a staff/non-client services added by  your administrator (such as travel, paperwork, or meetings), click Add NewStaff/Non-Client Service.
  2. In the Agency Program Staff Service Wizard window, search for and select a program.
  3. In the form that displays, enter the required fields including the date, time, and site providing service.
  4. Click Save.
Enter Time for Staff Time Off

Enter sick, personal, vacation time, and so on. 

  1. To enter time off, click Add NewStaff Time Off.
  2. In the Staff Time Off window, enter relevant information in the fields. Complete the information in the following required fields including Type, Date, and Duration.
    ​​​​​​​Note: To count this time against your work week, use the start time of your work day and include your normal work hours for duration, for example 08:00 for 8 hours.
  3. Click Save.

System Result: All services are displayed on the timesheet.
