Add services and tasks to the Scheduled Tasks calendar
Use the Scheduled Tasks calendar in myEvolv to manage services, events, and tasks.
Add New Client Service
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose New Client Service.
- In the All Clients (secured) window, search for and select the client.
- In the Staff - People Services per Client form, search by the Program Code, Program Name, Service Code, and/or Service Name and select the appropriate service from the list.
- In the Service Entry form, enter the required information and any other information as appropriate. Depending on the type of service, the form may required different information.
Note: You can enter a basic service information such as a progress note, a treatment record, and so on. - Select Save.
Result: The calendar displays the newly created Client Service event on the appropriate date. The service displays with an icon or text as described here, depending on who the service event was created for and whether the service is scheduled, completed, or due.
- If the service is created for an individual person, the system displays a single person silhouette icon.
- If the service is created for an individual person and that person is enrolled as a client, the system displays a single person silhouette icon highlighted green.
- If the service is created for a group, the system displays a multi-person silhouette icon.
- If the service is complete, the text displays in black.
- If the service is scheduled the system displays the text in blue.
- If the service is a task that is due, the system displays the text in red.
Add New Staff Non-Client Service
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose New Staff Non-Client Service.
- In the Generic Staff Service by Agency Program [ADD] form, enter the required information and any necessary additional information. Required fields are noted with a red asterisk.
- Select Save.
Result: The calendar displays the non-client service.
Add New Staff Time Off
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select New and choose New Staff Time Off.
- In the Staff Time Off - People [ADD] form, complete the appropriate information. The following fields are required:
- Staff - Click the magnifying glass icon and search for and select the staff member.
- Type - Click the magnifying glass icon and select from the list. Possible examples are personal time, sick time, appointment, or vacation.
- Actual Date - Enter the date and time.
- Duration - Enter the appropriate amount of time.
- Enter any additional information if desired.
- Select Save.
Schedule Client Task
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose Schedule Client Task.
- In the Calendar Appointment window, enter the required information and any additional information.
- Select Save.
Schedule Referral Task
The events available to be scheduled will by default display all referral tasks. Additionally, if the referral has a Program Referral that has been accepted and the person has not yet been enrolled in the program, all services linked to this program will be available to be scheduled. With the task scheduled for the program, once the person is checked in using Front Desk Check In, they are automatically enrolled in the program and the task can be completed as normal.
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose Schedule Referral Task.
- In the Calendar Appointment window, enter the required information and any additional information.
- Select Save.
Schedule Staff Task
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose Schedule Staff Task.
- In the Calendar Appointment window, enter the required information and any additional information.
- Select Save.
Schedule Case Task or Case Member Task
Schedule a task for a family case or a family case member.
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose the appropriate task:
- Schedule Case Tasks
- Schedule Case Member Tasks
- In the Calendar Appointment window, enter the required information and any additional information.
- Select Save.
Schedule Resource Family Task or Resource Family Member Task
Schedule a task for a resource family or a resource family member.
- Go to: Taskbar > Scheduled Tasks > Task List > Calendar.
- Select Add New and choose the appropriate task:
- Schedule Resource Family Tasks
- Schedule Resource Family Member Tasks
- In the Calendar Appointment window, enter the required information and any additional information.
- Select Save.
