Grant access to forms and reports
Define a staff member's access to modules, sub modules, formsets, and formset members (forms) in myEvolv.
- Each staff member is assigned a navigation scheme in myEvolv. A navigation scheme defines which modules, sub modules, formsets, formset members (forms), and stand-alone forms a user can access. Any user assigned the navigation scheme will be able to access the features granted in the scheme.
- A navigation scheme indicates whether the staff member can view, add, edit, and/or delete information on a form.
- Forms that you cannot modify access for are noted with NA or NA(EB).
- NA - Not Applicable. These are forms configured by Netsmart that show information as read-only. In addition, there are specific working areas in myEvolv where you are not allowed to customize staff access.
- NA(EB) - Not Applicable (Event Based). Forms with this code allow staff to enter events manually. You decide whether staff with this access can see the form; the actions they can complete are determined by their worker role.
- Go to: Agency Setup > Staff and Security Setup > Navigation Access > Access to Forms.
- Select Navigation Scheme.
- In the Security Schemes window:
- Search for and select a navigation scheme.
OR - In the Scheme Name field, enter a new scheme and click New. See Define Navigation Access For Staff (NX) for more information.
- Search for and select a navigation scheme.
- Next, search for the formset and forms that you want to grant access to.
- In the Select a Module field, click the drop-down arrow and select a module.

In the search box, type the search term. The search results list all modules, sub modules, formsets (Menu Caption) and forms (Tab Caption) that contain the term.

- Select the search result for the form that you want the staff member to be able to access.
- To the left of a sub module name, click the arrow to expand the group to see all formsets and forms in that sub module. In this example Agency Referral is the sub module and Referral Information is the formset.

- To grant access to a sub module and all formsets and forms under it, in the sub-module row click Actions and select Allow Access. A green check mark displays in all columns in the row for a sub module, formset, and form.
- To remove access to a sub-module and all formsets and forms under it, in the sub-module row click Actions and select Remove Access. A red x displays in all columns in each row for a sub module, formset, and forms.
- To change the access for a formset and all of its forms, in the formset row, click in the Has Access column and toggle between a green check mark (grant access) or a red x (remove access).
- To change the access for a form, in the form row, click in the Has Access column and toggle between a green check mark (grant access) or a red (remove access).
- To remove access, click the green check mark for a sub module, formset, or form and a red x displays.
- Select Save.
