Progress Notes Workflow

Note: Workflow is no longer a best practice due to updated features. Please see Document Routing for this workflow's recommended best practice.

Individual Progress Notes
  • A client service is rendered in myAvatar PM that requires a progress note (defined in Set System Defaults, Workflow Service Setup section).
  • If the progress note type requires a co-signer (User To Send Co-Sign To Do Item To field), a To-Do item is sent to a user to co-sign the progress note, after the progress note is filed.

Prerequisites:

  • The progress note service must be associated with workflow functionality (Set System Defaults form, Workflow Service Setup section).
  • The user must be the service provider who rendered the service, or is associated with the service provider for the client service (User Definition form, User Caseload section).
  • A service must be filed. This will trigger a To-Do item that requires a progress note sent to the user associated with the practitioner. The To-Do item tells the user that a progress note is required for the service.
  1. Open the To-Do item.
  2. File the Progress Notes (Home View) form.
  3. If a user is selected to co-sign the progress note (User To Send Co-Sign Item field), a To-Do item is sent.
  4. Enters any comments, and submit the form.
    Result: Progress note form is filed.
  5. If the requires co-signing (User To Send Co-Sign To Do Item To), a to do item is sent to the approving user.
    Depending on the note type definition, the User To Send Co-Sign field may be required, or may be disabled.
  6. The Review/Co-Sign Notes screen displays in the co-signing user's To-Do list.
  7. The co-signing user reviews and submits the form. The To-Do item is removed from that user's To-Do list.
Group Progress Notes

Prerequisites:

  • The user must be the service provider who rendered the service, or is associated with the service provider for the client service (User Definition form, User Caseload section).
  • The group progress note service must be associated with workflow functionality (Set System Defaults form, Workflow Service Setup section).
  1. A group service is filed.
  2. A group default note is created in the Enter Default Group Note (Workflow) form.
  3. A user (User To Send Scratch Note To Do Item field) is sent scratch progress notes for each group member.
    The user opens the To-Do item. The Progress Notes (Home View) displays.
  4. The user fills out and files the Progress Notes (Home View) form.
