Manage an Access Group
Select the permissions users assigned to the access group can perform.
Details
- Add/Edit Client File Attachments - Users within access groups that have this permission assigned can edit existing attachments and comments within the Service Authorization, Attachments, and Treatment Authorization Request pre-displays. Users with Add/Edit permission can download and open attachments, add any further files, and make edits to files/comments in any of these pre-displays.
- Allow FS Auth Treatments - Users within access groups that have this permission and the Add Treatment permission assigned can add services under Funding Source Service Authorization record (filed from Avatar MSO) in the Add Treatment workflow.
- Edit Avatar Diagnosis - Users within access groups that have this permission assigned can edit existing Diagnosis records on the ICD-9 version of the Diagnosis form (system configuration item Diagnosis_EnableICD10 set to False).
- View Client File Attachments - This permission was previously named View/Add Member Attachments. Users within access groups that have this permission can view existing attachments and comments within the Service Authorization, Attachments, and Treatment Authorization Request pre-displays. With this permission users can download/open attachments but not add further files or make any edits to files/comments.
Cal-PM Permissions
- Add Client Condition - Pregnancy - Users within access groups that have this permission assigned can enter new Client Condition - Pregnancy records on the Client Condition - Pregnancy form in ProviderConnect.
- Create Avatar Discharge - Users within access groups that have this permission assigned (as well as the View Avatar Discharge and View Avatar Admission permissions) have the Create Discharge link available within the Provider Admission pre-display. Clicking this link opens the Discharge form.
- Create Multiple Provider Admissions - (Cal-PM) Users within access groups that have this permission assigned (along with the Create Avatar Admission and View Avatar Admission permissions) have the Add Admission Record button available within the Provider Admission pre-display.(The Create Avatar Admission and View Avatar Admission permissions must also be assigned.)
- Delete Modeled Form Saved Data - This permission is automatically enabled and assigned to any access group where the View Dynamic Forms permission and read/write access to at least one user-modeled form was enabled/assigned prior to the ProviderConnect version 2.188 update.
- If the Delete Modeled Form Saved Data and View Dynamic Forms permissions are assigned and read/write access is granted to the form, the Delete button for main and multiple iteration modeled forms is present (where allowed by form definition), and users within the access group are able to delete existing records/data rows under User-Modeled forms.
- If the View Dynamic Forms permission is assigned and read/write access is granted to the form but the Delete Modeled Form Saved Data permission is not assigned, the Delete button for main and multiple iteration modeled forms is not present even when allowed in form definition, and users within the access group are unable to delete any existing records/data rows under User Modeled forms.
- Edit Client Condition - Pregnancy - Users within access groups that have this permission assigned can edit existing Client Condition - Pregnancy records on the Client Condition - Pregnancy form in ProviderConnect.
- View Avatar Admission - Users within access groups that have this permission assigned (and have the ProviderAdmission_AllowMultipleAdmission configuration item enabled) can view Admission and Discharge episode dates in the Provider Admission pre-display.
- View Avatar Discharge - Users within access groups that have this permission assigned (and have the ProviderAdmission_AllowMultipleAdmission configuration item enabled), can view Admission and Discharge episode dates in the Provider Admission pre-display within ProviderConnect.
- View Client Condition - Pregnancy - Users within access groups that have this permission assigned can view all existing Client Condition - Pregnancy records within the Condition - Pregnancy pre-display in the client record in ProviderConnect.
- View DCFS Status Tracking - (Cal-PM LACDMH) Users within access groups that have this permission can view all existing DCFS Status Tracking records within the DCFS Status Tracking pre-display in the client record. This data is filed via Avatar Cal-PM and is viewable on the read-only DCFS Status Tracking form in ProviderConnect.
- View LACDMH Client Care Plan Report - Users within access groups that have this permission assigned can view the LACDMH Client Care Plan Report (Main Menu > Reports).
- View LACDMH Client Service History Report - Users within access groups that have this permission assigned can view the LACDMH Client Service History Report (Main Menu > Reports).
- View LACDMH OTAR Report - Users within access groups that have this permission assigned can view the LACDMH Over Threshold Authorization Request report.
- View Public Guardian Status Tracking - (Cal-PM LACDMH) Users within access groups that have this permission assigned can view all existing Public Guardian Status Tracking records within the Public Guardian Status Tracking pre-display in the client record. This data is filed via Avatar Cal-PM and is viewable on the read-only Public Guardian Status Tracking form in ProviderConnect.
- Display, enter, and file multi-episode admissions in Avatar Cal-PM:
- With the View Avatar Admission permission assigned and the ProviderAdmission_AllowMultipleAdmissions configuration item enabled, users within access groups that have this permission can view Admission and Discharge episode dates in the Provider Admission pre-display within the ProviderConnect client record view.
- With the Create Multiple Provider Admissions permission assigned, as well as the Create Avatar Admission and View Avatar Admission permissions, users within access groups that have this permission have the Add Admission Record button available within the Provider Admission pre-display for opening the Admission form and entering a new record.
- Restrict the display of Admission episodes by program in Avatar Cal-PM:
- With the View Avatar Admission permission assigned and the ProviderAdmission_AllowMultipleAdmissions configuration item set to True, users within access groups that have this permission can view Admission and Discharge episode records within the Provider Admission pre-display under any and all Avatar Cal-PM programs.
- With the View Avatar Admission permission assigned and the ProviderAdmission_AllowMultipleAdmissions configuration item set to False, users within access groups that have this permission can view Admission and Discharge episode records within the Provider Admission pre-display only if the Avatar Cal-PM programs are mapped to the user's contracting provider. The mapping is done with the MSO to Parent System Integration Mapping form in Avatar MSO.
Steps

Click Manage an Access Group
- Permissions are separated into Admin and Provider accesses.

Choose the access group, click Select Access Group.

Current Users section
Displays users assigned to the access group.
Click remove to delete the user from the group. -
Available Users section
Users who are not currently assigned to an access group are available.
A user must be removed from an access group before they can be available.
Click add to add the user to the access group. -
Check to Apply Access section
Select permissions that all users associated with the access group can perform. -
Copy This Group
Click to create a new access group using the current access group's permissions. Enter the new group's name, click Ok. -
Delete This Group
Click to delete the access group.

Click Save Access Settings.

A confirmation message displays, click Ok.
