Cal-OMS Submission Workflow - Cal-PM
CalOMS Treatment (CalOMS Tx) collects and reports alcohol and drug treatment data in California. Treatment providers submit client treatment data to ADP monthly, providing insights on client behavior related to substance use, legal involvement, employment, education, family and social connections, and physical and psychological health.
Summary reports derived from this data contribute to the understanding and improvement of substance abuse treatment programs.
Netsmart advises using the suggested process for submitting Cal-OMS data to the State of California when using myAvatar Cal-PM.

Enter Cal-OMS reportable data in the following Client Information forms:- Admissions
- Cal-OMS Admission
- Outside Provider Cal-OMS Admission
- Discharges
- Cal-OMS Discharge
- Cal-OMS Youth/Detox Discharge
- Cal-OMS Administrative Discharge
- Outside Provider Cal-OMS Discharge
- Admissions
- On the Cal-OMS Submission form, process a Cal-OMS compile.
Note: The data entry date is the date compared to in the From Date and Through Date fields. A compile cannot be processed for the current date (today). - Select the Print Selected File Error(s) button and review and correct all Cal-OMS errors reported in myAvatar.
Repeat Steps 2 and 3 until all errors have been resolved.
- Report after all errors have been corrected in myAvatar.
- Use the Cal-OMS Submission Error Report section to print the errors for specific programs and/or providers.
- Select Submit (Create File) as Review. This will create a file on the server to be reviewed by other software, if necessary.
WARNING:
- A Review File should only be created for a compile without errors as this can create duplicate records within the Finalized Submission File.
- Netsmart Best Practice - correct all errors before creating a review or finalized file. Review files should only be used to review the actual file before finalization. For errors within the file, use the Print option to access the Error Report.
WARNING: Do not change the data in this file and submit to the state - make the changes in myAvatar and create a new compile.
- This creates a difference between the information provided to the state and the information in myAvatar.

Netsmart cannot guarantee nor be responsible for submission results if the Cal-OMS text file is modified outside of myAvatar prior to submitting the file to the state.
If data must be changed, make the changes in myAvatar then repeat Steps 2 - 4 until the file is ready for submission.
- When you are satisfied with the compile, select Submit (Create File) as Final.
- Submit the file to the state using their defined protocol.
- Use the Delete Cal-OMS Submitted File(s) form only when needed.
- This form will allow the last submitted Cal-OMS electronic file created in the Cal-OMS Submission form to be deleted.
- Deleting a submitted Cal-OMS file allows another file with the same From Date to be compiled.
- If the file is deleted, all records will need to be re-flagged manually in order for those records to appear in the new compile.

- Outside Provider clients will not need to be re-flagged for submission. They will appear in the next compile after the submission is deleted.
