Cal-OMS Setup and Troubleshooting - Cal-PM

CalOMS gathers treatment data for AOD service recipients in California. This data helps the state identify effective and ineffective services. It also supports continuous quality improvement to positively impact recipients, their families, communities, and public health and social systems.

The steps provided outline how to set up myAvatar Cal-PM to report Cal-OMS data to the state.

After completing this how-to, you will have the ability to set up myAvatar Cal-PM to report Cal-OMS data to the State of California. 

Prerequisites: 

  • On the Facility Defaults form, a folder should be created to store State Reporting Files created by myAvatar.
  • Confirm the registry setting values:
  • Define your Alcohol and Drug Programs to report Cal-OMS data in Program Maintenance.

Troubleshooting Steps

  • Confirm the date of data entry. The day they actually submitted the CalOMS data must be a day that is included in the date range of the CalOMS compile. Remember you may not compile through today.
  • List of registry settings that apply to CalOMS:
    • Allow Edit of From Serial Number in Cal-OMS Admission
    • Default Data in Outside Provider Forms
    • Disable Cal-OMS Admission check during discharge from Cal-OMS reporting program
    • Enable Form Serial Number in Cal-OMS Admission
    • Enable LA County Reporting Requirements
    • Enable Non LA County Requirements
    • Enable Record Submission Override
    • Enforce Annual Update Date Rule
    • Enforce Monthly Reporting
    • Start Date for Data Collection
    • Annual Update Number
  • All registry settings must have a value.
  • Start Date for Data Collection – New Cal-OMS admissions on or after this date will be included in the Cal-OMS submissions.
  • The program must be set up for CalOMS in Program Maintenance. Confirm the following fields are entered:
    • Substance Abuse Program (Cal-OMS) = Yes
    • County ID (CalOMS)
    • Provider ID (CalOMS)
    • Licensed for Methadone and/or LAAM
    • Cal-OMS Type of Service
    • Cal-OMS Provider No Activity Submission Status
  • Check the error report for the compile on the Cal-OMS Submission form.
  • Access to the Cal-OMS Youth/Detox Discharge is allowed if the client is 17 years of age or younger and/or the client is admitted to a detox type program as specified in Program Maintenance.
