Widget - Client and Staff

The Client & Staff widget uses Smart Search functionality to display your caseload in the My Clients section of the widget. You can search for additional clients not on your caseload when covering for another physician or competing tasks such as billing and auditing.
To open a form for a client, first highlight the client's name, then click the form you want to open in the Forms & Data widget.

My Clients

The My Clients tab allows you to access clients in the myAvatar system. From here you can open their chart, or pre-select them for any client-based form (as opposed to opening a form and then searching for the client in the Select Client window).

Click the person icon next to the Home View button to display the My Clients screen. This is useful for accessing clients when forms are open.

Accessing Client Information

To display a client's chart:

  • Double-click on the on the client name and ID line item.
    OR
  • Right-click and select Display Chart.
     

​The Current Medications and Lab Results options are included if you have been given access to those Quick Forms through the Select Forms for User Access menu (User Definition form, Forms and SQL Tables section).

 

Clients can be accessed in three ways:

► 1: Selecting a client from your caseload

A client will be permanently added to your My Clients list, if:

  • You are listed as the Attending Practitioner for the client in the Admission, Admission Outpatient, or Attending Practitioner forms.
  • The client is listed in your Team Caseload (Team Definition form, Team Caseload section).

  • The client is assigned to you through the Nursing Caseload Assignment form

Note: Clients can be added to your caseload through the following forms:

  • Admission - selecting your user name as the attending or admitting practitioner, in the Attending Practitioner or Admitting Practitioner fields.

  • Transfer Caseload - transfers caseloads assigned through an Add to Caseload field.

  • Transfer Practitioner Caseload - transferring the attending practitioner caseload to another practitioner, adds the client to the user associated with the transferred practitioner's caseload.

  • User-defined data collection instruments (modeled forms) that have an Add to Caseload type of field.

  • Clients who are not in your caseload will automatically be added to your My Clients list if you are the practitioner they have an appointment with for today.

► 2: Selecting recently opened client charts
  • Clients that are not in your caseload can also be added to the My Clients list manually:
    These clients will display in the My Clients list for the session.
    These clients will not display compliance indicators.

  • If you click the edit link and add a client to the My Clients list, that client will be added to the list for the session.
    If you log out of their myAvatar session and log back in, the client will not display in My Clients.

► 3 Performing a search
  • The Search Clients field allows searching for clients in the myAvatar database.
    Selected clients will be added to the Recent Clients list if that client is not already in the My Clients list.

  • Click the Advanced button to open the Select Client window and use additional parameters to search for clients.

    • Click View Client Picture to launch a picture display window.

    • Click Client Details to generate the Lookup Report for the client.

Remove Clients

Clients not in your caseload can be removed from the My Clients, or Recent Clients lists by right-clicking and selecting Remove From List.

Close Clients

Click Close Open Clients to close out all open client forms, removing them from the Recent Clients section and the RADplus Menu Bar.

Edit My Clients

Click Edit to display the Edit My Clients screen. From here you can manage clients that display in the My Clients list.

  • Search for clients.

    • Enter the client name, and press Enter or click the magnifying glass icon.

    • Clients can be added to the Selected Clients list, and will display in the My Clients list.

    • Clients not in your caseload will display in the My Clients list for the session, but will not display compliance indicators.

  • Click Recently Used, or New Episodes to display a list of clients based on a specific time period.
    Choose the time period to display client.
    Add a client by dragging the client to the Selected Clients frame.
    Clients that are dragged will remain in the Selected Clients frame until you log out of your session.

  • Clients that are not in your caseload can be removed from the My Clients list.
    Click the X in the Selected Clients section to remove a client.
    Click Remove all to remove all clients from the Selected Clients section.

  • When finished, click OK.

My Staff

The Staff tab allows you to access staff members in the myAvatar system. From here you can pre-select them for any staff-based form (as opposed to opening a form and then searching for the staff member in the Select Staff window).

  • All staff members who have hours at that site will display in the Staff tab.

  • Staff members will be able to see all other staff associated with the sites for which they have hours of operation.

  • Scheduling permissions relating to staff members in the Staff section are defined in User Definition, or User Role Definition forms (Appointment Scheduling section).

Search for a Staff Member 

The Search Staff field allows you to search for staff in the myAvatar database. Any recently accessed staff members, who do not appear in the My Staff list will display in the Recent Staff section for the duration of the session.

To enter a new staff member into myAvatar, use the Practitioner Enrollment, or Practitioner Enrollment (Brief) forms.

Add Staff Members to the My Staff List

Staff members who do not have hours scheduled at this site can be still be added to the My Staff list temporarily.

  1. Click the Edit link at the top of the widget to display the Edit My Staff window.
  2. In the Search field, enter all or part of the staff member's name or ID. A list of results will appear below.
  3. Select the staff member to add and click the blue arrow to move them to the list.
  4. Click OK to add this staff member for the duration of the session.

Alternatively, you can also drag any staff members from the Recent Staff section to the My Staff list to add them to the list for the duration of the session.

If you log out of their myAvatar session and log back in, the staff member will not display in My Staff.

Remove Staff Members from the My Staff List

Staff members who have scheduled hours appear automatically on the My Staff list. To remove a scheduled staff member, you must delete all scheduled hours for the site in the Staff Member Hours and Exceptions form.

Unscheduled staff members who have been added temporarily for the session can be removed from the My Staff list without ending the session.

  1. Click the Edit link at the top of the widget to display the Edit My Staff window.
  2. Temporary session staff appear at the bottom of the list with a red X to the right of their names.
  3. Click on the name and select Remove in the pop-up menu.
  4. Click Yes in the Confirm box.
  5. Click OK to return to the Home screen.

To remove all temporary session staff at once, click the Remove all link in the top right corner of the window.

My Site

The Site tab allows you to view clients who have an appointment at the specified site or unit for today.

The Site tab is added to the Client & Staff widget via the Enable Console Widgets/Views registry setting.

  • The Site and Unit buttons control the criteria for the Search field.
  • Search for the site or unit to view, and select. The results will disappear, but the selection has been activated.
    • When searching by site, the Clients list displays the names of clients with an appointment for today, if they are on your caseload and/or you are the practitioner they have an appointment with for today.
    • When searching by unit, the Clients list displays all clients who are currently admitted to that unit, regardless of whether they have an appointment or are in the practitioner's caseload.
