Client Merge Setup - PM

Learn how to properly configure the source and target clients before performing a Client Merge in myAvatar.

Prerequisites:

  • Client Merge must be enabled by an myAvatar PM administrator before performing a client merge.

Episode Information
  • The Source Client episode and the Target Client episode must not have overlapping dates if the programs for both episodes are the same. See Allow Merging Into Existing Episode to enable this function.
  • The dates can overlap for outpatient programs only, and only if the programs are different.
  • If both the Source Client and Target Client are in an outpatient treatment program, the target client’s admission and discharge dates must not overlap any of the source client's episodes for the same outpatient treatment program.
  • If both the Source Client and Target Client have leaves, these leaves must not have occurred on any of the same dates.
  • The Source Client or Target Client must not be active in a Pre-Admit and Admission treatment program at the same time.
Appointments
  • If the Source Client and Target Client have scheduled appointments, these appointments must not be at the same date and time.
    • In order to correct this condition, one of the client appointments must be deleted to process the client merge.
Family Membership
  • Either the Source Client or Target Client can belong to a family.
  • If both the Source Client and Target Client belong to a family, one of the family memberships must be deleted to process the client merge.
Financial Eligibility
  • Either the Source Client or Target Client can have financial eligibility records.
  • If both clients have financial eligibility records, the financial eligibility information for the source episode will have to be re-entered.
  • This condition applies to the following forms:
    • Financial Eligibility
    • Cross-Episode Financial Eligibility
    • Family Financial Eligibility
Child Applications
  • All installed myAvatar applications must be updated to process the client merge. This includes all myAvatar modules, and site specific development. (For example: If myAvatar eMAR and myAvatar OE are installed, both applications must be updated to process the client merge.)
Avatar MSO
  • Both the Source Client and Target Client cannot be associated with the same contracting provider.

Merge Cancellations

A merge will be cancelled if any of the following conflicts occur:

  • The Source Client and Target Client have the same date of admission, or date of discharge from a treatment program.
  • The Source Client or Target Client are active in a pre-admission, or admission program during the same time period.
  • The client merge would exceed the maximum allowable client movements per day (9).
  • Both clients have appointments scheduled for the same date and time.
