Setup for Appointment Scheduling

This page defines the setup items needed to utilize myAvatar Appointment Scheduling.

  • These steps are performed within the User Definition and/or User Role Definition forms.

  1. In the User Definition section, enter the user name to identify the appropriate user ID.
  2. Select the Appointment Scheduling section.
  3. Click Select Forms. The Select Forms screen displays.
  4. Choose the forms that can be launched from the Scheduling Calendar.
    • A maximum of 15 forms can be selected. These forms will be available when a user right-clicks an appointment
  5. If the Client Ledger is selected in one of the areas listed below, it will automatically be selected in both areas. To deselect, the Client Ledger must be unchecked in both areas.
    • Avatar PM > Client Management > Account Management
    • Avatar PM > Billing > Remittance Processing
  6. In the following fields, define the actions the user can perform from the right-click menu:
    • In the Allow Check In of Appointments field, select Yes if the user can check in appointments via the Scheduling Calendar. This setting does not affect the Coming In Today widget.
    • In the Allow Check Out of Appointments field, select Yes if the user can check out appointments via the Scheduling Calendar. This setting does not affect the Coming In Today widget.
    • In the Allow Posting Payment From Check In field, select Yes if the use can post payments during check in.
    • In the Allow Posting Payment From Check Out field, select Yes if the user can post payments during check out.
    • In the Allow Practitioner to See Other Practitioner Calendars field, select Yes to allow the user to view appointments created by other practitioners. This field is only enabled if the user is associated with a Staff member.
    • In the Allow Remove Check In field, select Yes if the user can reverse a client check in.
    • In the Financial Eligibility Form To Launch field, select the financial eligibility form that will open when you click the View Financial Eligibility button on the Add Appointment or View Details/Edit Appointment screens.
    • In the Allow Deleting Appointment If Progress Note Attached field, select the action the user can perform form appointments that have an associated progress note.
    • In the Allow Adding Appointments After Date is Posted field, select Yes if the user can delete an appointment with an associated posted progress note.
  7. In the Time Zone field, select the user's time zone. When this user is logged into myAvatar, the Scheduling Calendar will display times for both their time zone and the myAvatar server's time zone side by side so that you can account for any time zone differences when scheduling appointments.
  8. In the following fields, define the actions the user can perform from the right-click menu:
    • In the Site Schedules User Can Modify field, select the sites whose schedule the user will be given access to modify.
    • In the Sites at Which User May Overbook Staff Members field, select the sites where the user can overbook staff member appointments.
    • In the Sites at Which Users May Overbook Client Appointments field, select the sites where the user can overbook client appointments.
    • In the Sites at Which Users May Overbook Group Appointments field, select the sites where the user can overbook group appointments.
    • In the Sites at Which User May Book Clients Outside Allowed Countries field, select the sites where the user can overbook appointments outside allowed countries.
    • In the Sites at Which User May Overbook field, select the sites where the user can overbook appointments.
    • In the Sites at Which User May Overbook Group Capacity field, select the sites where the user can add members to maximum-capacity groups.
    • Note: If no users have specified access to a particular site, that site is available to all users in the system. As soon as a single user is given specified access to that site, however, the site becomes limited to only users with specified access.
