Time Entry screen - Mobile Tablet

The Time Entry screen allows you to capture the information below for activities and visits where applicable, based on Administrative settings.

  • To enter this information for a visit, you must first start a visit for a patient.
  • For unmade visits, you can enter this information without starting a visit

Information for time entry:

  • Travel start and end time
  • Mileage
  • PRN Visit indicator
  • Direct start and end time
  • Duration
  • Indirect Time
  • Unmade Visit indicator
  • Unmade Visit reason
  • Visit type
  • NPI
  • CPT Code
  • CPT Modifier

You can toggle between the Visits and the Patients tabs.

  • The Visits tab displays documentation ready to submit that is associated with a visit.
  • The Patients tab displays documentation ready to submit that is outside of a visit.
  • Offline documents (Clinical Notes, Clinical Monitoring, Medications, and Assessments) are submitted through the Time Entry screen.

The bottom of the screen displays the Direct time, Indirect time, Travel time, Total Time for the day, and mileage.

Overlapping time entries are marked with an orange triangle with an exclamation mark and must be edited.

For visits, you can edit all fields on the Time Entry window only before a visit is submitted. For activities, time entries are automatically saved after you exit the Time Entry window. Saved activities and submitted visits become read-only.

Note: Q Type visits that are set to allow either Start and End Time or Duration for time entry (Administration > Configuration > Service Codes/Staff > Required to sync > Time and Mileage > Direct Time column > Q - Require Entry or Allow either Start & End time OR Duration) now have a Duration field.

  • The Start and End time is based on when you select Start Visit and End Visit. The
  • Duration field automatically populates based on these times.
  • These fields are both editable until you submit the visit.
  • If you manually adjust the Start and End time, the Duration adjusts to match the new times.
  • If you manually adjust the Duration, the Start and End time fields clear out.

The visit does not calculate overtime if the visit code in the Pay Rate Calculator is set to Duration Only and is not to be used for OT calculation.
