Create a Batch Letter Job

Create a batch of letters to be distributed to multiple clients that meet the criteria selected.

Prerequisites:

  • Users must have both security access and navigation access to the Batch Letters function.
  • Clients to receive the letter(s) must have a mailing address on file.
  1. Go to Taskbar > Document Management > Document Management > Batch Letters.
  2. In the Letter Type field, choose the magnifying glass to search for and select the Letter Event Template to run for this batch.
  3. For Program Enrollment Dates, select the From and Through dates for determining the clients to include in the batch. If a client is actively enrolled in the program for any period of time within the date range, they will be included in the batch letter job. For example, if a client was enrolled in the program before the From date and continued to be enrolled after the From date, they would be included in the batch.    
  4. In the Parameters section, select the items to show or hide in the batch letter.
    • Suppress Page Overview - hides the overview
    • Suppress Page Header - hides the header
    • Suppress Agency Logo - hides the logo
    • Suppress Page Number - hides the page number
    • Clients As Per Patient Statement Balance - includes the client if they have a statement balance
    • Active Benefit Assignment - includes the client if they have an active benefit assignment
    • In the Parameters table, select additional parameters are desired, such as age range or diagnosis.
  5. Select Preview Letter Template to view a sample letter with the selected parameters. The preview shows the first letter in the batch as a sample.
  6. Optional. Change parameters as desired.
  7. Select Get Clients to see the list of Batch Letter Recipients at the bottom of the page.
    • Double check that the clients listed fulfill the criteria selected in the parameters. 
  8. If desired, clients can be removed from this batch by deselecting the check box to the left of the Client Name.
  9. Select Submit Batch Letter.
    • A message box displays confirming the batch was successfully created. Select OK.
