Create Fast Track service entries - weekly
In myEvolv use Fast Track to enter a weekly service for multiple clients.
Note: Fast Track uses a system default simple service entry form. No changes can be made to the form used. If an agency has a user-defined form attached to the event being documented, and that form has additional and/or required fields, users will need to navigate to Service Entry to enter additional information.
- Go to: Taskbar > Fast Track > Fast Track > Fast Track - Weekly.
- In the program list, click the plus sign next to a program to see the services for the program.
- Click a service to select it.
Result: The Fast Track Entry form displays where you can specify search criteria and defaults for services created with Fast Track. - Complete the following required fields.
- In Search Criteria:
- Staff Accessing Members - The system automatically populates with the logged in user. You can update this selection.
- Type - The system automatically populates the service type based on the selection on the previous screen.
- Program Providing Service - The system automatically populates the program based on the selection on the previous screen.
- Facility Providing Service - Select the appropriate facility.
- Start Date - The date the client began receiving the service.
- In Completed Information:
- Completed By - Search for and select the staff member that completed the service.
Note: You can enter information in any of the additional fields to further narrow the search results.

- In Search Criteria:
- In the toolbar click Get Clients.
- The system displays a weekly calendar, allowing you to identify if the specific event occurred on a specific day for a specific client.
- To navigate the calendar, mark clients as present for services, and add services, select from the following calendar options.
- Previous and Next - Click to view previous and upcoming weeks.
Important: If you have not saved changes and you click Previous or Next, you will lose those changes. - Cancel - Click to close the calendar without saving your changes. You are returned to the Search Criteria form.
- Mark All - This option automatically selects the Present check box that marks all clients as present for all services that week. If you selected Mark All and need to indicate a client was not present on a specific day, you can clear the Present check box manually.
- Mark Week - This option automatically selects the Present check box to mark a client as present for all services for a week. If you selected Mark Week and need to indicate a client was not present for a service on a specific day, you must clear the Present check box manually.
- Present - Select this check box to mark a client as present for a service, then enter the service start time and duration. In addition, you can click the Program, Site, and Location links to make a different selection.
- Add Services - Click to add services that were provided in support of, or in addition to, the main service. An example would be Transportation Services. Click the Other Svcs and Location links to make selections, and enter the start time and duration. To remove the additional service, click the x icon.
Note: If you have set up service validation in the system, when you click Save, the system will validate the services. For example, the system will ensure that the client's program enrollment is valid or there are no overlapping services. The system displays a message if a service is invalid and outlines the service in red.
- Previous and Next - Click to view previous and upcoming weeks.
- When finished, select one of the following options.
- Save - Click to save your changes and exit the calendar. You are returned to the program list.
- Save and Continue - Click to save your current selection and reset the view to make more selections. The selection that was saved is removed from the calendar.
If you have not completed all required fields for a service, a message displays and the service is highlighted in yellow.
Result: In Case Management (Client > Case Management > Service Entry) the Fast Track service is listed under the program providing the service.
