Schedule Services in the Calendar
Schedule Services
Use the front desk functionality to schedule services using a graphical interface.
Menu Path
Check In/Out > Attendance Check In/Out > Attendance Check In/Out.
Schedule a Service
- In the toolbar, click the Check In/Out button.
- In the Navigation pane, under Attendance Check In/Out > Front Desk Daily Check In.
System result: The system displays a list of appointments.
- In the Check In/Out screen toolbar, click the Calendar button.
- Right-click a time in the calendar and click Schedule Appointment.
- In the Schedule Appointment dialog, enter the information as appropriate. The following fields are required:
- Facility Responsible - The system automatically populates the facility.
- Unit Responsible - For facilities with only one unit, this field is populated by default. For a facility with multiple units, you can update the facility unit here.
Release Consideration: The ability to select the facility unit is available with myEvolv versions 9.0.8175 and later.
- Staff - Click the button and and select any staff member from the list.
- Program Responsible - Click the button and select a Program from the list.
- Event - Click the button. In the Service Events dialog, search for and select an event.
- Client - Click the button. In the People Search dialog, search for and select a client.
- Duration - Enter the length of the appointment in minutes.
Note: In versions 9.0.8150 and higher, In the Schedule Appointment dialog, you can select a unit for the Unit Responsible field. For single unit facilities, this selection is automatically populated. For new client intakes, when you check-in a client, he or she is automatically enrolled into the Unit Responsible.
Search for an Available Time to Schedule a Service
Complete the following steps to search for a range of available times to select from.
- In the Calendar screen, in the left pane, under Appointment Search, enter the following criteria:
- Program - Click the button and select a Program from the list.
- Client - Click the button. In the People Search dialog, search for and select a client.
- Event - Click the button. In the Service Events dialog, search for and select an event.
- Duration - Enter the number of minutes of availability required.
- Click Search.
System result: The Search Results tab displays in the left pane with a list of available appointment times.
- From the list of available appointments, click the Sched Appt link for the appropriate appointment.
- In the Schedule Appointment dialog, review the information, make any necessary changes, and click Save.
Schedule a Service by Staff Member
Complete the following steps to schedule a service for a client associated with a specific staff member.
- In the Calendar screen, in the left pane, under Select a staff, click the check box for applicable staff members.
- In the upper-left corner, click Go.
System result: In the calendar pane, the staff member calendars are displayed.
- Right-click an empty space on the calendar.
Note: If N/A is displayed on the calendar, the staff is unavailable during that time.
- Click Schedule Appointment.
- In the Schedule Appointment dialog, complete the following required fields:
- Client - Click the button. In the People Search dialog, search for and select a client.
- Event - Click the button. In the Service Events dialog, search for and select an event.
- Click Save.
Schedule a Service on a Specific Date
Complete the following steps to schedule a service on a specific calendar date.
- In the Calendar screen, in the left pane, under Select a Date, select a day from the calendars.
System result: The system displays the day you selected in the center Calendar screen.
- Right-click an empty space on the calendar.
Note: If N/A is displayed on the calendar, the staff is unavailable during that time.
- Click Schedule Appointment.
- In the Schedule Appointment dialog, complete the following required fields:
- Client - Click the button. In the People Search dialog, search for and select a client.
- Event - Click the button. In the Service Events dialog, search for and select an event.
- Click Save.
