Setup Enrollment

Once an agency's services are set up, programs associated to the attendance, school and service facilities, clients can be enrolled by entering a new client, or through the enrollment information area of the Client Module.

  • myEvolv requires a unique relationship to be established between a program, a facility associated with that program, and a system-defined service.
  • Facility Placement, which is contained within the Membership/Placement Event Category, is an example of this service.
  • In addition, these services are available when setting up a Billing Scheme, allowing them to be billable.

The following steps place or enroll a client in a program.

Agency Setup > Services Setup > By Program > Placement/Enrollment 

  1. The Services Setup by Program screen displays all programs for any program category.
  • Right-click a program. Select the edit icon.
  1. In the Service Event column, click ​the ellipse button
  • Search for and double-click the service event.
    This is the service that enrolls a client into a program, or a person into a group, attendance facility, school.
    The event must coincide with the type of facility that runs the program.
    For example, when enrolling clients into a Foster Care or Residential program, Facility Placement could be used as the event. However, if placing a client into an Agency School Program, School Placement could be used as the event.
  1. In the Service Facility Type column, click the ellipse button
  • Double-click the type of facility enrollment.
  1. The Service Facility field is not required.
  • If blank, the service event can be provided by all facilities that operate the program.
  • If a facility is selected, the service event can only be provided at that facility.
  • The facilities available are associated with the service facility type, and are linked to the program.
  1. In the Default Location column, click the ellipse button
  • Search for and double-click the location.
    For Placement services, select Other (code 99).
  • Default location identifies the program location of the service provided.
  • The value is used where a location is not specified during a service entry.
  • Locations are defined in the Location table in Table Maintenance.
  • The selected location can be used to link to a Place of Service Code in Finance, to associate with claims for a service.
  1. In the Item Description field, enter the description.
  2. In the Extract Service Code column, click the ellipse button
  • Double-click the service code.
  1. ​Check Exclude from Service Authorizations to exclude the service from service authorizations.
  2. Check Is Active if the service is active.
  3. When finished, click Save. Click Close.
