Facility Capacity

Capacity refers to the amount of space a facility can provide.

For example, a foster home may have the capacity to hold one male and one female in two separate rooms.

Age can be set as well. For example, the beds may be small and can only fit a 10 year old or younger.

  • All Care Day programs must have a capacity of at least one.
  • Capacity must be defined for all programs including residential facilities, Group Residencies (GR), Group Homes (GH), Residential Treatment Centers (RTC), etc.
  • When a residential facility is created, a capacity of one is automatically generated for the facility.
  • Units can be further broken down by identifying specific beds.

A facility must be created before its capacity can be defined.

  1. Click Select a Facility.
  • In the Facility Name field, enter the name and click Search. Double-click the facility.
  1. In the facility row, click Edit.
  2. Check the Is Active field if this unit is active.
  3. In the Description field, enter the name for the unit.
  • If an agency’s facility has no need to keep track its capacity units, change the Description from "Room 1" to "N/A".
  1. In the Unit Number field, enter the identifying number used to make this entry unique for the facility. This ID is also used as a shortcut code for picklists.
  • Capacity is divided into units.
    One unit is automatically created because it is required by the system.
  • When clients are enrolled in programs, they can be placed into a facility that has at least one unit defined.
  1. In the Bed ID, and Bed Description fields:
  • Enter the bed identifying number, and bed description.
  • This is required for Vacancy Billing.
  1. In the Total Capacity, Total Male Capacity, and Total Female Capacity fields:
  • Enter the totals for each group.
  • These numbers are for reporting purposes only.
  • Clients can be placed in the unit over the amounts entered here.
  • The numbers are not restricted by each other.
    For example, enter a Total of 6, Male of 3, Female of 3. If the facility currently has 5 enrolled, 4 males and 1 female, the availability results will display: Total Available: 1, Total Male Available -1, Total Female Available 2.
  1. In the Age Range field, enter the age range for this facility.
  • Clients can be placed in the facility if their age is above or below the entries here.
  1. The Crisis Center, and Emergency Placement fields are for reporting purposes only.
  • Select whether the unit is a crisis center, or an emergency placement.
  1. Click Save, then click Close.
