Define Tasks

Medication administrations recorded via eMAR will display on Task List automatically. All other tasks require a Task Definition. Tasks may be associated to orders or interventions and may either utilize their original details or override them with Task List-specific details. Tasks may also be associated as standing tasks that are generated following an admission or transfer to a program.

Task Definition can indicate an allowable completion window, after which a task is moved to the Overdue column.

Tasks can be recorded as complete on the task itself (Generic), by submitting a modeled form, or via Flowsheet.

When Task Details are overridden, the task frequency and duration (in minutes, hours, days, or calendar days) reflects the Task Definition configuration, regardless of what is defined on the original order or intervention.

To Do Notifications may be sent to the client’s attending practitioner, the ordering practitioner included on a relevant order, or to caseload practitioners based on their Practitioner Category defined in Practitioner Enrollment. A reminder notification may be sent based on the number of minutes after a task was considered due as defined in the field Notification Reminder Timing (Minutes). Additionally, a late task notification may be sent based on the number of minutes after a task was considered due as defined in the field Notification Late Timing (Minutes)

Field

Description

Add/Edit Task Definition

Choose whether to add a new Task Definition or edit an existing Task Definition.

Deactivate Task

Select to prevent the task from generating new occurrences.

New Task Code

Enter an alphanumeric code with no spaces or special characters to represent the task.

Task Title

Define a short description of the task that will display on Task List.

Existing Task Code

When editing a task, use the Existing Task Code to search for the desired task.

Task Description

Enter a description of the task to be completed.

Override Originating Task Details

If the configuration of Task Definition should override the parameters of the order or intervention from which the task was generated, select 'Yes'. The frequency and timing configured in the Task Definition form will apply in place of the original order or intervention.

Default Staff Categories

Multi-select the staff Practitioner Category(ies) that will be responsible for completing the task.

Allow Custom Timing

Set to 'Yes' to apply the Default Duration and Default Duration (Units) to the task, rather than the duration of the original order.

Default Frequency

For tasks that will not receive a frequency code from an order or intervention, or when an override of the frequency is desired, the Default Frequency may be selected from the available Task Frequencies.

Allowable Completion Window

Enter the number of minutes, hours, days, or calendar days from the due date within which the task must be completed to be considered on time.

Allowable Window of Time (Units)

Select the unit (minutes, hours, days, or calendar days) to coincide with the number entered in the Allowable Completion window.

Default Duration

Enter the number of minutes, hours, days, or calendar days from the due date that the task should remain active when ‘Allow Custom Timing’ is set to 'Yes'.

Select the unit (minutes, hours, days, or calendar days) to coincide with the number entered in ‘Default Duration’.

Task Action Type

Indicate whether the task will be completed by a Flowsheet, Modeled Form, or Generic, which requires the user to mark the task as complete from within Task List.

Form

When Modeled Form is selected as the ‘Task Action Type’, select the form that will launch from Task List when the user selects to complete the task. Note that a user will be able to complete the form regardless of their individual User or User Role Definition permissions.

The only forms available for selection must be forms that are CWS, Episodic, and Modeled.

Forms that are PM, Non-Episodic, or Product will NOT display for selection. 

Send Notification

Select 'Yes' to send a To Do notification to the user(s) defined via the ‘Notification Recipients’ and ‘Practitioner Category’ fields when a reminder of a due task, or notification that a task is late may be warranted.

Notification Recipients

Indicate whether a To Do notification should be sent to the Attending Practitioner, Ordering Practitioner, or to specific Practitioner Categories. Only one option may be selected.

Notification Reminder Timing (Minutes)

Enter the number of minutes after a task is due to send a reminder To Do notification.

Practitioner Category

When Practitioner Categories is selected from the ‘Notification Recipients’ field, select which staff member Practitioner Categories should receive To Do notifications.

Notification Late Timing (Minutes)

Enter the number of minutes after a task is due to send a late timing notification.

Billable

Indicate whether a task completion will be billable.

Service Code

Select the Service Code that will be filed upon task completion.

Initial Task Service Code

A different service code may be warranted for the first time a task is completed. Use the Initial Task Service Code search to select the appropriate code.

Timing

Indicate whether the service code should be filed Daily, or upon each Task completion.
