External Pharmacy Setup

Overview

An additional form has been added to allow organizations to define for a program and/or unit the primary and backup pharmacies. The Unit definition will always take precedent over the program definition. For example, if your program has been defined to go to pharmacy ABC, but the unit is defined to go to XYZ, then the client’s prescriptions will go to XYZ.

Details

The user is able to define both a default (primary) pharmacy as well as backup (secondary) pharmacy.  A default days supply can also be defined based on the organization’s contract with the pharmacy. The search fields for the pharmacy option will search the SureScripts Network.

In order to successfully send either inpatient or outpatient prescriptions to OrderConnect the appropriate mapping of Avatar program to OrderConnect Agency. This configuration is part of any standard OrderConnect configuration though in the past inpatient programs may not have had a definition here. As part of OrderConnect configuration, organizations will determine how many agencies are required and then be trained on the process for updating those configurations. Please refer to OrderConnect documentation for complete instructions.

Pharmacy Fill Details - Registry Settings

There are two registry settings which drive what information is sent back from RxConnect and what displays in the eMAR upon product assignment within RxConnect.  Netsmart strongly recommends that clients set the following registry settings to “Y”. These settings are not supported when sending to an external pharmacy.

  • Store Fill Detail Received from Pharmacy (Facility Specific)
    • This will ensure that all fill information from the pharmacy is sent back to Avatar for subsequent use in the eMAR
  • Use Pharmacy Fill Details for Order Description (Facility Specific)
    • This will ensure that the fill information received from RxConnect is displayed within the eMAR. 

Order Entry User/User Role Definition

The Order Entry console references the Order Entry User Role and Order Entry User Definition forms for determining access to orders and ordering privileges.

There are two primary differences between the Order Entry console functionality and the standard Client Profile/Physician Orders functionality that are impacted by Order Entry User Definition. The first primary difference is that in the console, a user can modify an order in a single step, regardless of whether or not it has been sent to RxConnect. This action is accomplished by creating a copy of the existing order for the user to modify and discontinuing the current order (defaulting to a discontinue reason of ‘order modified’).  The system will check to ensure that the user or user’s role has the new and discontinue order actions allowed vs. the change.

The second primary difference is the Notes functionality. The Order Entry console does not currently support the Order Notes capability.  Notes can be added to orders that are placed via the Order Entry console, but those notes are not viewable from the profile nor can they be added. At this time, there are no plans to include the Notes functionality.

Rx Icon.pngWhen sending to an external pharmacy, the system will do a silent login to OrderConnect in order to transmit the prescriptions. In order to ensure that the user is able to use the Order Console, single sign on for OrderConnect must be enabled. Additionally, it is imperative that the NPI defined in Practitioner Definition be the same NPI defined for that user in OrderConnect.

Rx Icon.png When sending to an external pharmacy, the practitioner or user must be defined within both OrderConnect and myAvatar. Upon loading of the console, the system will do a silent login to OrderConnect in order to transmit the prescriptions. To ensure that the user is able to use the Order Console, single sign on for OrderConnect must be configured. Additionally, it is imperative that the NPI defined in Practitioner Definition be the same NPI defined for that user in OrderConnect. When not defined, the user will be presented with a blank screen during final review. When doing two-factor authentication for controlled substances, the USERID that the user enters within the web page will be the USERID within OrderConnect and prefaced with the facility id (i.e., 117dwalz).
