Frequency Code Setup

Set up frequency codes used to indicate the frequency with which orders should be performed or administered.


  1. Go to: Avatar Order Entry > Order Entry System Definitions > Frequency Code Setup
  2. In the Add/Edit Frequency Code field, either Add New Code or Edit Existing Code.
  3. In the Require Special/Additional Instructions With This Frequency Code field, select Yes to require the Special/Additional Instructions field ( Client Profile/Physicians Orders form).
  4. If appropriate, in the Deactivate Frequency Code field select Deactivate.
    Note: Deactivating a frequency code makes the code unavailable in Order Entry, but does not delete it. The frequency code can be reactivated by deselecting this field.
  5. In the Frequency Code Description field, type a description.
  6. In the Routine or PRN (As Needed) field, select how the order will be administered.
  7. For the One Time Only field, select Yes if the order is to be administered a single time.
    Note: In myAvatar eMAR, orders that are defined as 'one time only' are discontinued automatically when a successful administration event is recorded.
  8. In the Times/24 Hours field, enter the number of times the order should be administered in a 24-hour period.
  9. In the Daily Administration field:
  • Select Daily if the order is to be administered every day. If Daily is selected, then the Days Administered and Every Nth Day fields are disabled.
  • Select Not Daily to indicate that the order is not administered every day.
    Important: Selecting Not Daily makes the Days Administered and Every Nth Day fields enabled and required.
  1. In the Days Administered field, select the days of the week that the order is administered. If values are selected in this field, then the Every Nth Day field is disabled.
  2. In the Every Nth Day field, enter the interval in days between order administrations. If a value is entered in this field, then the Days Administered field is disabled.
  3. Select List All Frequency Codes to view all frequency codes. 
  4. For the Unit field, select a nursing unit. Doing so allows your organization to flex administration times for a defined frequency based on the nursing unit. (If no unit is selected, the assumption is that the administration times apply to all nursing units.) This field is for use with the Order Entry Console.
  5. If needed, in the Hours of Administration fields, check the appropriate hours of administration (AM and/or PM) for administering the order.
  6. In the Interface Code field, enter the National Pharmaceutical Product interface code.
  7. For the Hours of Administration By Unit field, define the hours of administration that will apply to the nursing unit selected in the Unit field. This field is for use with the Order Entry Console.
  8. Select Submit.
