Routing Assignment Definition allows configuration of rule(s) that determine how a document moves from one user or queue to another user or queue.

Key Fields
Field   Notes
Will this assignment complete a workflow? Y/N

When Yes is selected, this assignment will trigger the completion of the workflow for a document. If the Medical Coding form has been completed during the workflow, the services and diagnosis records recorded on the form will be dropped to the client ledger.

If No is selected, the document will continue through the routing process.

Manager Roles   Some assignment types require additional management/customization of user details after the assignment is defined. The roles selected here have access to the Assignment Details grids for this assignment on the Routing Admin Dashboard.
Select Queue   This field is where you designate the assignment queue.
Select Status   This field is where you designate the document status for the assignement.
Assignment Type Drop-down list
  • Program Assignment: This is a round robin style assignment where documents are assigned to a group of users. Document priorities may be managed on an individual basis according to the program of the episodic assessment that generated the original document from the assignment details grid.

  • User: This is an assignment where users are designated other specific users in the workflow. Chance of assignment can be set in the Min # of Items column. In addition, a maximum timeframe in which documents must pass through this rule can be set via the Min # of Days Since Last Assignment.

  • Group: This is a round-robin style assignment that cycles through users belonging to Routing Roles selected in Group Roles To. This means that ALL of the users in the selected group need to approve.

  • Individual: This designates a specific user for the assignment.

  • Previous User: This designates that the document be assigned to the last user who had the document in the queue selected (i.e., routes to the last user).

Alternative Assignment   Designate an alternate to direct this assignment to.
Enable Background Auto-Reassignment?: Y/N

When yes is selected, if a document fails to send due to the assigned user(s) all having a maximum number of items already assigned to them, the document will be marked as “unassigned” rather than moving to the alternate assignment. These unassigned documents will be processed periodically by a background job that will attempt to assign them again to the user(s).

Priority Roles To   For the Program Assignment type, the Routing Roles selected here are used to default the list of myAvatar users into the manageable list in the assignment details grid. These users will receive the documents coming from this assignment.
Select Program(s):   For the Program Assignment type, the programs selected here will default into the manageable list in the assignment details grid. Documents for programs not selected here will not be assigned a user and will either fail the assignment or go to the alternate assignment if one is selected.

Note: If the client is assigned to a Program, but no Role Assignments include the program in the setup in this field, the system produces an error.
Default Priority Number Number For the Program Assignment type, the value entered here will be used for all programs in the assignment details not yet manually set in the assignment details grid (Define Priority Levels Button).

You can enter a number from 0 to 99 in this field.
