Modify Security Settings for an Existing User or an Existing User Role

You can modify the security settings for an existing user or an existing user role for a variety of tasks.

Prerequisites:

Prerequisite: You need access to the User Definition Form or the User Role Definition Form in myAvatar.

Locate Access Forms for an Existing User Role

  1. Log on to myAvatar, and navigate to the user role definition form.
  2. Select the appropriate user role.
  3. Click the Select Forms for User Access button.

Locate Access Forms for an Existing User

  1. Log on to myAvatar, and navigate to the user definition form.
  2. Select the appropriate user.
  3. Select Forms and Tables.

 

  1. Click the Select Forms for User Access button.

Modify Security Settings

  1. Navigate to Avatar PM > RADplus Utilities > Document Management.
  2. Select any of the following security options for the relevant forms:
  • Blank – The user will not see the form.
  • Green RW – The user will be able to read and write on the form.

  • Yellow R – The user will only be able to read what was entered on the form.

Note: The following forms are available for you to choose security options: 

Form Description
Launch [POS Scan] Gives users the ability to scan or import.
Document Management Definition Gives a system administrator the ability to add new document types in myAvatar.
Clinical Document Viewer Gives a user the ability to view client or staff documents.
Delete Document Gives a system administrator the ability to delete documents.
Document Management Defaults Provides system administrators the ability to give information to Netsmart support, but this form should only be modified by Netsmart.
Client POS Scan Gives users the ability to scan or import.
Staff POS Scan Gives users the ability to scan or import if utilizing Staff functionality.
Perceptive Batch Capture/Indexing For clients who will utilize batch capture.
  1. After you have selected the appropriate security options for the forms, click OK.

Customize the Left Display of a Client's Chart

To predefine the content that appears on the left side of a client’s chart, complete the following steps.

  1. Click the Select Chart Review Forms button.


 

  1. To add a group, select the green + sign in the upper right corner.


 

  1. In the Add Form Group box, type a group name, and click OK.
  2.  Select the green + sign in the new group.

  3. In the Search Forms field, add desired forms to the group, and then click Submit.

  4. On the left side, select Document Management.

 
 

  1. On the Document Management form, make the following decisions:
    1. Is this user a Document Management Administrator?
    • Yes promotes this user to a Perceptive Manager, and he/she has full access to everything in the Perceptive toolbar. We recommend choosing Yes only for system administrators.

    • If Yes, you can submit this form. If No, then continue these steps.

    1.  Under Forms Allowed To View, did you choose Specify Forms?
    • If Yes, click the Select Forms To View button, and then select from the list to limit which forms the user can view in myAvatar . When finished, click the OK button to return to the Document Management form. 
    1.  Under Forms Allowed To Scan, did you choose Specify Forms?
    • If Yes, click the Select Forms To Scan button, and then select from the list to limit which forms the user can scan in myAvatar . When finished, click the OK button to return to the Document Management form.
    • Note: You cannot limit scanning to specific document types.
    1. ​Under Forms Allowed To Print, did you choose Specify Forms?
    • If​​​​​ Yes, click the Select Forms To Print button, and then select from the list to limit which forms the user can print in myAvatar . When finished, click the OK button to return to the Document Management form.
    1.  Under Forms Allowed To Void, did you choose Specify Forms?
    • If Yes, click the Select Forms To Void button, and then select from the list to limit which forms the user can void in myAvatar . When finished, click the OK button to return to the Document Management form.​ 
    1.  Under View Voided Documents, if you choose Yes, then you must make a selection under Select Void Reason Types Allowed to View.
    • Note: This is not a comprehensive list of void reason types. If the client would like additional values, use the Dictionary Update myAvatar PM form.
  2. To submit the form, click the Submit button. If you have additional users or user roles to add, click Yes.
