'Client And Counselor Groups - ODS Group Service' ProviderConnect Support
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
- Claim Processing (CMS 1500)
- Claim Processing (UB-04)
- Look Up Client
- Service Detail Display
- Treatment pre-display
- CPT Code Definition (MSO)
- Treatment Entry
- Revenue Code Definition (MSO)
Scenario 1: 'CPT Code Definition' - Filing of Group Service Entry Limit Information to ProviderConnect
Specific Setup:
- Avatar MSO Registry Setting 'Enable Group Services' must be enabled
- Avatar MSO Registry Setting 'Enable Client and Counselor Groups In Service Entry' must be enabled
Steps
- Open Avatar MSO 'CPT Code Definition' form.
- Select 'Add' or 'Edit'.
- Enter (or search/select) CPT Code Definition to be added (or updated).
- Set 'Type of Service' field to 'Group'.
- Enter values for 'Minimum Number of Clients in Group' and 'Maximum Number of Clients in Group' fields.
- The value entered for 'Minimum Number of Clients in Group' and 'Maximum Number of Clients in Group' will be used to limit user entry values in the 'Number of Clients In Group' field in ProviderConnect for the selected CPT service code. If no value is entered for 'Minimum...' and/or 'Maximum...' fields, no limitation on 'Number of Clients in Group' entry value will be enforced.
- Select value for 'Use ODS Group Service Calculation' field.
- The value selected for 'Use ODS Group Service Calculation' field will be used to determine whether the ODS Group Service Calculation for Client and Counselor Groups will be used in the ProviderConnect Service/Treatment Entry forms for the selected CPT Code (for services with 'Date Of Service' value on or after the date specified in ProviderConnect System Configuration Item 'Tx_StartODSGroupServiceCalc').
- Set 'Documentation Time Limit' field to 'Create New' (or select existing Documentation Time Limit row for edit).
- Enter values for 'Number of Clients in Group', 'Maximum Documentation Time (minutes)' and 'Maximum Travel Time (minutes)' fields.
- The entries filed for 'Number of Clients in Group' and 'Maximum Documentation Time'/'Maximum Travel Time' combination will be used to limit user entry values in the 'Documentation Time' and 'Travel Time' fields in ProviderConnect for the selected CPT service code based on the 'Number of Clients in Group' value for service. If no entry is applicable to the ‘Number of Clients in Group’ value for service, no limitation on 'Documentation Time' and/or 'Travel Time' entry values will be enforced.
- Click 'File Documentation Time Limit' button.
- Repeat Documentation Time Limit/Travel Time Limit entry process as desired for selected CPT Code, ensuring new entries are saved (and/or deleted via 'Delete Documentation Time Limit' button).
- Click 'File CPT Service Code' button when code entry/edit has been completed.
- In Netsmart ProviderConnect, 'Minimum Number of Clients in Group'/'Maximum Number of Clients in Group' and Documentation Time Limit/Travel Time Limit values defined for CPT Code can be confirmed by the enforcement of these limits in the 'Add Treatment' Service/Treatment Entry workflow.

Scenario 2: 'Revenue Code Definition' - Filing of Group Service Entry Limit Information to ProviderConnect
Specific Setup:
- Avatar MSO Registry Setting 'Enable Group Services' must be enabled
- Avatar MSO Registry Setting 'Enable Client and Counselor Groups In Service Entry' must be enabled
Steps
- Open Avatar MSO 'Revenue Code Definition' form.
- Select 'Add' or 'Edit'.
- Enter (or search/select) Revenue Code Definition to be added (or updated).
- Set 'Type of Service' field to 'Group'.
- Enter values for 'Minimum Number of Clients in Group' and 'Maximum Number of Clients in Group' fields.
- The value entered for 'Minimum Number of Clients in Group' and 'Maximum Number of Clients in Group' will be used to limit user entry values in the 'Number of Clients In Group' field in ProviderConnect for the selected Revenue service code. If no value is entered for 'Minimum...' and/or 'Maximum...' fields, no limitation on 'Number of Clients in Group' entry value will be enforced.
- Select value for 'Use ODS Group Service Calculation' field.

Scenario 3: Avatar MSO Claim Processing - Verification Of Claim/Service Information Filing to ProviderConnect
Specific Setup:
- Avatar MSO Registry Setting 'Enable Group Services' must be enabled
- Avatar MSO Registry Setting 'Enable Client and Counselor Groups In Service Entry' must be enabled
- Client with valid Service Authorization eligible for service entry/receipt in Avatar MSO and/or Netsmart ProviderConnect
Steps
- In Avatar MSO 'Claim Processing...' forms - create or edit service(s) originating in Avatar MSO (via manual entry or 837 inbound processing) or edit services originating in Netsmart ProviderConnect, including values for the following Client and Counselor Group Service Entry fields:
- 'Number of Clients In Group'
- 'Number of Counselors In Group'
- 'Client Documentation Time'
- 'Travel Time'
- 'Group Service Units' (calculated value field)
- 'Group Service Units Per Day' (calculated value field)
- In ProviderConnect Main Menu, open 'Lookup Client' form.
- Enter lookup criteria for client where service(s) exist and click 'Search by Criteria' button.
- In 'Client Lookup' results, open client record where service(s) exist.
- Navigate to 'Treatment' pre-display tab.
- Ensure that all service(s) originating in Avatar MSO (via manual entry or 837 inbound processing) and/or originating in Netsmart ProviderConnect and adjudicated in Avatar MSO are present in ProviderConnect 'Treatment' pre-display.
- Open Service Detail Display by clicking on 'Tx Date' column service date link for single service.
- Ensure that detail information for service(s) originating in Avatar MSO (via manual entry or 837 inbound processing) and/or originating in Netsmart ProviderConnect and adjudicated in Avatar MSO is present in ProviderConnect Service Detail Display, including values for the following Client and Counselor Group Service Entry fields:
- 'Number of Clients In Group'
- 'Number of Counselors In Group'
- 'Client Documentation Time'
- 'Travel Time'
- 'Group Service Units'
- 'Group Service Units Per Day'
