Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:

Scenario 1: ProviderConnect 'Treatment Entry' form - Verification of System Configuration Item for ODS Group Service Calculation Start Date
Specific Setup:
- An administrative-level username
- If enabling ODS Group Service calculations for Client and Counselor Group Service Entry, corresponding Registry Setting 'Start Date for 'Use ODS Group Service Calculation'' must be defined in connected Avatar MSO system (using same Start Date configuration value)
Steps
- Navigate to 'Utilities' menu.
- Open 'System Configuration' Administrative Utility.
- Confirm that new System Configuration Item 'Tx_StartODSGroupServiceCalc' is added to form.
- The 'ODS Group Service Calculation' logic will be used for those services where 'Yes' is selected in the 'Use ODS Group Service Calculation' field for the CPT Code/Revenue Code Definition and where 'Date Of Service' is on or after the date entered in this System Configuration Item
- System Configuration Item entry format is 'MM/DD/YYYY'
- Confirm that new System Configuration Item 'Tx_StartODSGroupServiceCalc' value is not defined by default on update installation.
- Enter date value for System Configuration Item 'Tx_StartODSGroupServiceCalc'.
- Click 'Save Configuration' button to save System Configuration settings.
Scenario 2: ProviderConnect 'Treatment Entry' form - Enforcing of Group Service Entry Limits, Professional Services
Specific Setup:
- Avatar MSO Registry Setting 'Enable Group Services' must be enabled
- Avatar MSO Registry Setting 'Enable Client and Counselor Groups In Service Entry' must be enabled
- Avatar MSO Registry Setting 'Start Date for 'Use ODS Group Service Calculation'' must be enabled (Start Date defined)
- Netsmart ProviderConnect System Configuration Item 'Tx_UseGroupRateCalculations' must be enabled
- Netsmart ProviderConnect System Configuration Item 'Tx_StartODSGroupServiceCalc' must be enabled (Start Date defined)
- CPT Code where 'Minimum Number of Clients in Group'/'Maximum Number of Clients in Group' values and Documentation Time Limit/Travel Time Limit entries are defined (via Avatar MSO 'CPT Code Definition' form)
- 'View Treatment', 'Add Treatment' and/or 'Edit Treatment' permissions must be assigned to user/access group
- One or more clients with valid Service Authorization(s) eligible for ProviderConnect Treatment/Service entry
Steps
- In ProviderConnect Main Menu, open 'Lookup Client' form.
- Enter lookup criteria for client and click 'Search by Criteria' button.
- In 'Client Lookup' results, open client record for service entry.
- Navigate to 'Treatment' pre-display tab.
- Click 'Add Professional Treatment' button.
- Enter/select service date(s).
- Select Service Authorization record in 'Authorization' field.
- Enter/select CPT Code in 'Procedure Code' field, using code where 'Minimum Number of Clients in Group'/'Maximum Number of Clients in Group' values and Documentation Time Limit/Travel Time Limit entries are defined.
- Select value in 'Clinician' field.
- Enter 'Units/Day' field value.
- Click 'Set Treatment Date' button.
- Enter 'Number of Clients In Group' field value.
- Ensure that if 'Number of Clients In Group' value entered is less than the 'Minimum Number of Clients in Group' value defined for CPT Code, user is presented with an error dialog noting 'The number of clients in the group is not within the constraints of (CPT Code). Values must be between (#) and (#) clients' or '...Value must be greater than or equal to (#) clients' and the entry is disallowed.
- Ensure that if 'Number of Clients In Group' value entered is greater than the 'Maximum Number of Clients in Group' value defined for CPT Code, user is presented with an error dialog noting 'The number of clients in the group is not within the constraints of (CPT Code). Values must be between (#) and (#) clients'' or ''...Value must be less than or equal to (#) clients' and the entry is disallowed.
- Ensure that if 'Number of Clients In Group' value entered is equal to/greater than the 'Minimum Number of Clients in Group' value and also equal to/less than the 'Maximum Number of Clients in Group' value defined for CPT Code (or no Minimum/Maximum '...Number Of Clients In Group' values are defined for CPT Code), no error message is displayed and the entry is allowed.
- Enter 'Client Documentation Time' field value.
- Ensure that if 'Client Documentation Time' value entered is greater than the 'Maximum Documentation Time (minutes)'/'Number of Clients in Group' Documentation/Travel Time Limit defined for the CPT Code, user is presented with an error dialog noting 'The documentation time and/or travel time exceeds the constraints of (CPT Code). Documentation Time must be less than or equal to (#)...' and the entry is disallowed/cleared.
- Ensure that if 'Client Documentation Time' value entered is equal to/less than the 'Maximum Documentation Time (minutes)'/'Number of Clients in Group' Documentation/Travel Time Limit defined for the CPT Code (or no Documentation Time Limit entries are defined for CPT Code applicable to the 'Number Of Clients In Group'), no error message is displayed and the entry is allowed.
- Enter 'Travel Time' field value.

The date(s) selected must be entirely before or on/after the Group Service ODS calculation start date of (Date)' is presented and the entry is disallowed.
- Ensure that the following Client and Counselor Groups Service Entry fields are present/enabled when the 'Type of Service' value for selected CPT Code/Procedure Code is defined as 'Group':
- 'Number of Clients In Group'
- 'Number of Counselors In Group'
- 'Client Documentation Time'
- 'Travel Time' (conditionally present/enabled - see information below)
- Enter 'Number Of Clients In Group' field value.
- Enter 'Number of Counselors In Group' field value.
- Enter 'Client Documentation Time' field value.
- Ensure 'Travel Time' field is not present in form where 'Use ODS Group Service Calculation' is set to 'No' for selected CPT Code/Procedure Code (via Avatar MSO 'CPT Code Definition' form).
- Ensure 'Travel Time' field is not present in form where 'Use ODS Group Service Calculation' is set to 'Yes' for selected CPT Code/Procedure Code but 'Date of Service' is prior to value/date defined for ProviderConnect System Configuration Item 'Tx_StartODSGroupServiceCalc'.
- Ensure 'Travel Time' field is present in form/enabled where 'Use ODS Group Service Calculation' is set to 'Yes' for selected CPT Code/Procedure Code and 'Date of Service' is on or after value/date defined for ProviderConnect System Configuration Item 'Tx_StartODSGroupServiceCalc'.

Scenario 6: ProviderConnect 'Billing' - Verification of Service Submission to Avatar MSO With Client and Counselor Group Information
Specific Setup:
- Avatar MSO Registry Setting 'Enable Group Services' must be enabled
- Avatar MSO Registry Setting 'Enable Client and Counselor Groups In Service Entry' must be enabled
- Avatar MSO Registry Setting 'Start Date for 'Use ODS Group Service Calculation'' must be enabled (Start Date defined)
- Netsmart ProviderConnect System Configuration Item 'Tx_UseGroupRateCalculations' must be enabled
- Netsmart ProviderConnect System Configuration Item 'Tx_StartODSGroupServiceCalc' must be enabled (Start Date defined)
- CPT Code Definition/Revenue Code Definition where 'Type of Service' is defined as 'Group' (via Avatar MSO 'CPT Code Definition'/'Revenue Code Definition' form)

Steps
- In ProviderConnect Main Menu, open 'Billing' menu.
- Select fiscal year under which unbilled services including Client and Counselor Group Service Entry information exist, and click 'Generate New Bill' button.
- Review included claim/service information, and click 'Bill Details' button.
- Review service/bill information and click 'Submit Bill' button to proceed; this will transmit the included claims/services to Avatar MSO.
- In Avatar MSO, ensure that new Claims Processing Batch is created (or existing open batch updated) on receipt of services filed via ProviderConnect.
- In Avatar MSO, open 'Claim Processing (CMS 1500)' or 'Claim Processing (UB-04)' form for the Claims Processing Batch created for claims/services filed via ProviderConnect.
- Select claim filed via ProviderConnect, and click 'Edit' button.
- Navigate to 'Service Detail' section of form.
- Verify that service(s) filed via ProviderConnect is/are present in Avatar MSO.
- Select service row filed via ProviderConnect, and click 'Edit Selected Item' button to review service information.
- Ensure that service field information entered/filed via ProviderConnect is present in Avatar MSO, including the following Client and Counselor Group Service Entry fields:
- 'Number of Clients In Group'
- 'Number of Counselors In Group'
- 'Client Documentation Time'
- 'Travel Time' (where applicable)
- 'Group Service Units'
- 'Group Service Units Per Day' (where applicable)
Scenario 7: ProviderConnect 'Treatment Entry' form - Verification of System Configuration Item for Disabling of Diagnosis Fields
Specific Setup:
- An administrative-level username
Steps
- Navigate to 'Utilities' menu.
- Open 'System Configuration' Administrative Utility.
- Confirm that new System Configuration Item 'Tx_DisableDiagnosis' is added to form.
- When enabled/set to 'True', the 'Tx_DisableDiagnosis' System Configuration Item will disable the following Diagnosis entry/selection fields in the ProviderConnect 'Add Treatment' service entry form/workflow:
- 'Primary Diagnosis'
- 'Second Diagnosis'
- 'Third Diagnosis'
- 'Fourth Diagnosis'
- Confirm that new System Configuration Item 'Tx_DisableDiagnosis' value is set to 'False' by default update installation.
- Select value for System Configuration Item 'Tx_DisableDiagnosis'.
- Click 'Save Configuration' button to save System Configuration settings.
Scenario 8: ProviderConnect 'Treatment Entry' form - Verification Of Disabling Of Diagnosis Fields
Specific Setup:
- Netsmart ProviderConnect System Configuration Item 'Tx_DisableDiagnosis' must be enabled
- 'View Treatment', 'Add Treatment' and/or 'Edit Treatment' permissions must be assigned to user/access group
- One or more clients with valid Service Authorization(s) eligible for ProviderConnect Treatment/Service entry
Steps
- In ProviderConnect Main Menu, open 'Lookup Client' form.
- Enter lookup criteria for client and click 'Search by Criteria' button.
- In 'Client Lookup' results, open client record for service entry.
- Navigate to 'Treatment' pre-display tab.
- Click 'Add Professional Treatment' or 'Add Institutional Treatment' button.
- Enter/select service date(s).
- Select Service Authorization record in 'Authorization' field.
- Enter/select CPT Code/Revenue Code in 'Procedure Code' field.
- Select value in 'Clinician' field.
- Enter 'Units/Day' field value.
- Click 'Set Treatment Date' button.
- In the 'Add Treatment - Service Details' form, ensure that the following Diagnosis search/selection fields are disabled/unavailable for entry:
- 'Primary Diagnosis'
- 'Second Diagnosis'
- 'Third Diagnosis'
- 'Fourth Diagnosis'
