Registry Setting - Enabled Dynamics GP Integration
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Registry Settings (PM)
  • User Definition
  • GL Facility Defaults
  • General Ledger Payment/Adjustment Account Numbers
  • Print General Ledger Payment/Adjustment Interface File Detail
  • Print General Ledger Charge Interface File Detail
  • Dictionary Update (PM)
  • Compile General Ledger Payment/Adjustment Interface File
  • COMPILE GENERAL LEDGER CHARGE INTERFACE FILE
  • Table Import For General Ledger Account Numbers
Scenario 1: GL Integration - Dynamics GP - Registry Setting - Enable Dynamics GP Integration
Steps
  1. Open the 'Registry Settings' form.
  2. Set the 'Limit Registry Settings' to the 'Enable Dynamics GP Integration'.
  3. Click [View Registry Settings].
  4. Validate the 'Registry Setting' field contains 'Avatar GL->General Ledger Interface->->->->Enable Dynamics GP Integration'.
  5. Validate the 'Registry Setting Details' field contains '[FACILITY SPECIFIC] ------------------------------------------------------------------------------- Enter "Y" to enable Dynamics GP integration. This will add the fields 'Dynamics GP Input Path On Server' and 'Dynamics GP Output Path On Server' to the 'GL Facility Defaults' form. The output path will be used to send compiled files to Dynamics GP. The input path will be used to get Dynamics GP accounts for comparison with Avatar GL accounts through various forms. Enter "N" to disable Dynamics GP integration.'.
  6. Validate the 'Registry Setting Value' field is defaulted to 'N'.
  7. Click [Submit].
  8. Click [OK].
  9. Click [Yes].
  10. Set the ‘Limit Registry Settings’ to the ‘Dynamics GP’.
  11. Click [View Registry Settings].
  12. Set the ‘Registry Setting Value’ input box to ‘1’.
  13. Validate that the validation message contains ‘The selected value is not valid in the current system code for the following reason: Invalid response -- must be ‘Y’ or ‘N’. OK’.
  14. Click [OK].
  15. Set the ‘Registry Setting Value’ input box to ‘M’.
  16. Validate that the validation message contains ‘The selected value is not valid in the current system code for the following reason: Invalid response -- must be ‘Y’ or ‘N’. OK’
  17. Click [OK].
  18. Set the Registry Setting Value text input box to ‘Yes’.
  19. Validate the message contains ‘The selected value is not valid in the current system code for the following reason: Invalid response -- must be ‘Y’ or ‘N’. OK’
  20. Click [OK].
  21. Set the Registry Setting Value text input box to ‘No’.
  22. Validate that the validation message contains ‘The selected value is not valid in the current system code for the following reason: Invalid response -- must be ‘Y’ or ‘N’. OK’
  23. Click [OK].
  24. Set the Registry Setting Value text input box to ‘*’.
  25. Validate that the validation message contains ‘The selected value is not valid in the current system code for the following reason: Invalid response -- must be ‘Y’ or ‘N’. OK’

  27. Set the Registry Setting Value text input box to ‘‘.
  28. Click [Submit].

  38. Select desired user from the ‘Select User’ field.
  39. Click the ‘Forms and Tables’ item.
  40. Click [Select Forms for User Access].
  41. Click ‘Avatar PM’ item.
  42. Verify that the 'General Ledger Interface' item exist.
  43. Verify that all the items are checked.
  44. Click [OK].
  45. Click [Submit].
  46. Click [No].
  47. Open the ‘GL Facility Defaults’ form.
  48. Verify the ‘Output Path On Server For CSV File’ field exists.
  49. Verify the ‘Dynamics GP Input Path On Server’ field exists.
  50. Verify the ‘Dynamics GP Output Path On Server’ field exists.
  51. Click the light bulb icon of the ‘Dynamics GP Input Path On Server’ field and validate the help text contains ‘This path is used for Dynamics GP to add a file of accounts that can be pulled on demand by Avatar to compare with GL accounts.'
  52. Click the ‘Return To Form’ link.
  53. Click the light bulb icon of the ‘Dynamics GP Output Path On Server’ field and validate the help text contains ‘This path is used to output a CSV file of the Avatar GL compile for Dynamics GP to use.’.
  54. Click the ‘Return To Form’ link.
  55. Click [Discard].
  56. Click [Yes].
  57. Open the ‘General Ledger Charge Account Numbers’ form.
  58. Click the ‘Print G/L Charge Table’ item.
  59. Verify the [Dynamics GP Comparison] exists.
  60. Click [Discard].
  61. Open the ‘General Ledger Payment/Adjustment Account Numbers’ form.
  62. Click the ‘Print G/L Pay/Adj Table’ item.

Scenario 2: GL Integration - Dynamic GP - Compile General Ledger Payment/Adjustment Interface File and Print General Ledger Payment/Adjustment Interface Detail File
Specific Setup:
  • System updated with Avatar GL module.
  • Registry Settings:
  • The 'Enable Dynamics GP Integration' is set to 'Y'.
  • Dictionary Update:
  • File: G/L Interface
  • (202) - Credit G/L Payment Adjustment Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • (203) - Debit G/L Payment Adjustment Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • General Ledger Interface components:
  • General ledger interface components are defined. Note the components.
  • General Ledger Payment/Adjustment Account Numbers:
  • General ledger credit/debit payment/adjustment account numbers, default payment/adjustment account numbers and general ledger interface components are defined. Note the account codes/values.
  • File Explorer:
  • Local folders are created to place the input/output CSV files. Note the paths of the folder.
  • GL Facility Defaults:
  • The following fields are populated with the valid paths of the input/output files for Dynamics GP. Note all the paths for later use.
  • Output Path On Server For CSV File
  • Dynamics GP Input Path On Server
  • Dynamics GP Output Path On Server'
  • GP Account File:
  • A CSV file is created in the format account number, account description and account type that contains general ledger payment/adjustment accounts in the system but not all. Please note - the account type is exactly the values of 'Charge' or 'Pmt/Adj'. Note the account numbers included in the file.
  • The CSV file created is placed in the path defined as the 'Dynamics GP Input Path On Server' in the 'GL Facility Defaults'.
Steps
  1. Open the 'Compile General Ledger Payment/Adjustment Interface File' form.
  2. Set the 'Bill Period' field to a desired bill period. (i.e. The format of the bill period is MM/YYYY).
  3. Set the 'General Ledger Posting Date' to desired date.
  4. Set the field 'Pre-Compile' to 'No'.
  5. Click [Process].
  6. Verify the 'Compile General Ledger Payment/Adjustment Interface File' report launches successfully.
  7. Verify the report displays the GL strings for the Payment/Adjustment account numbers with the specific information. Note the details displays on the report.
  8. Close the report.
  9. Close the form.
  10. Locate to the local folders are created to place output CSV file.
  11. Verify the CSV file matching the details shown on the 'Compile General Ledger Payment/Adjustment Interface File' report screen is generated and placed in both the paths setup for 'Output Path On Server For CSV File' and 'Dynamics GP Output Path On Server' in the 'GL Facility Defaults'.
  12. Open the 'Compile General Ledger Payment/Adjustment Interface File' form.
  13. Set the 'Bill Period' field to a desired bill period. (i.e. The format of the bill period is MM/YYYY).
  14. Set the 'General Ledger Posting Date' to desired date.
  15. Set the field 'Pre-Compile' to 'Yes'.
  16. Click [Process].
  17. Verify the 'Compile General Ledger Payment/Adjustment Interface File' report launches successfully.
  18. Verify a 'Pre-Compile' report displays 'Pre-Compile. Please see 'Print General Ledger Payment/Adjustment Interface File Detail'.
  19. Close the report.
  20. Close the form.
  21. Open the 'Print General Ledger Payment/Adjustment Interface File Detail' form.
  22. Enter the 'Bill Period' previously specified.
  23. Click [Dynamics GP Comparison].
  24. Verify a report launches successfully and displays only the account numbers in the compile that are missing from the GP file.
  25. Close the report.
  26. Click [Process].
  27. Verify the report displays all applicable Payment/Adjustments within the billing period based on the data set up in the 'General Ledger Interface components' and 'General Ledger Payment/Adjustment Account Numbers'.
  28. Close the report.
  29. Close the form.
  30. Open the 'Crystal report' or any other SQL data viewer.
  31. Query the 'Select * from GL.compilepayadjintdetail' table for the client identified in the setup section.
  32. Verify the accounts and components displays correctly as defined.
  33. Close the 'Crystal Report'.
Scenario 3: GL Integration - Dynamic GP - Compile General Ledger Charge Interface File and Print General Ledger Charge Interface Detail File
Specific Setup:
  • System updated with Avatar GL module.
  • Registry Settings:
  • The 'Enable Dynamics GP Integration' is set to 'Y'.
  • Dictionary Update:
  • File: G/L Interface
  • (200) - Credit G/L Charge Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • (201) - Debit G/L Charge Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • General Ledger Interface components:
  • General ledger interface components are defined. Note the components.
  • General Ledger Charge Account Numbers:

  33. Verify the SQL view contains correct value in the 'counter' column.
  34. Verify the SQL view displays accounts and components as defined in the setup.
  35. Close the report.
Scenario 4: GL Integration - Dynamics GP - Table Import For General Ledger Account Numbers
Specific Setup:
  • System updated with Avatar GL module.
  • Registry Settings:
  • The 'Enable Dynamics GP Integration' is set to 'Y'.
  • Dictionary Update:
  • File: G/L Interface
  • (200) - Credit G/L Charge Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • (201) - Debit G/L Charge Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.

  • The text file to import charge or payment/adjustment account numbers are created and placed in a local dictionary. Note the location of the file.
Steps
  1. Open the 'Table Import For General Ledger Account Numbers' form.
  2. Select the 'GL Charge Account Numbers' in the 'Load Which Table' field.
  3. Select the 'Append to Existing Table' in the 'Load Option' field.
  4. Select desired charge account file for import.
  5. Click [Import GL Account Numbers].
  6. Verify the crystal report launched and a previously selected and correctly displays the 'Total Number of Rows in File' imported successfully.
  7. Click [Close Report].
  8. Verify another 'Table Import For General Ledger Account Numbers' report launched that contains the account numbers which are missing in GP. (Please note: System will launch the report to display the account numbers under the missing in GP if the general ledger payment/adjustment account numbers are in GL dictionary but not in the CSV file.).
  9. Close the report.
  10. Select the 'GL Payment/Adjustment Account Numbers' in the 'Load Which Table' field.
  11. Select the 'Append to Existing Table' in the 'Load Option' field.
  12. Select desired payment/adjustment account file for import.
  13. Click [Import GL Account Numbers].
  14. Verify the crystal report launched and correctly displays the 'Total Number of Rows in File' imported successfully.
  15. Click [Close Report].
  16. Verify another 'Table Import For General Ledger Account Numbers' report launched that contains the account numbers which are missing in GP. (Please note: System will launch the report to display the account numbers under the missing in GP if the general ledger payment/adjustment account numbers are in GL dictionary but not in the CSV file.).
  17. Close the report.
  18. Open the 'Table Import For General Ledger Account Numbers' form.
  19. Select the 'GL Charge Account Numbers' in the 'Load Which Table' field.
  20. Select the 'Over-Ride Existing Table' in the 'Load Option' field.
  21. Select desired charge account file for import.
  22. Click [Import GL Account Numbers].
  23. Verify the crystal report launched and a previously selected and correctly displays the 'Total Number of Rows in File' imported successfully.
  24. Click [Close Report].
  25. Verify another 'Table Import For General Ledger Account Numbers' report launched that contains the account numbers which are missing in GP.   26. Close the report.
  27. Select the 'GL Payment/Adjustment Account Numbers' in the 'Load Which Table' field.
  28. Select the 'Over-Ride Existing Table' in the 'Load Option' field.
  29. Select desired payment/adjustment account file for import.
  30. Click [Import GL Account Numbers].
  31. Verify the crystal report launched and correctly displays the 'Total Number of Rows in File' imported successfully.
  32. Click [Close Report].
  33. Verify another 'Table Import For General Ledger Account Numbers' report launched that contains the account numbers which are missing in GP. (Please note: System will launch the report to display the account numbers under the missing in GP if the general ledger payment/adjustment account numbers are in GL dictionary but not in the CSV file.).
  34. Close the report.
Scenario 5: GL Integration - Dynamics GP - Validating 'Dynamics GP Comparison' in the ‘General Ledger Charge Account Numbers’ form
Specific Setup:
  • System updated with Avatar GL module.

  • Dictionary Update:
  • File: G/L Interface

  • The CSV file created is placed in the location defined as the 'Dynamics GP Input Path On Server' in the 'GL Facility Defaults' form. Note the account numbers included in the file.
  • Please note: If the charge account number is in the GL dictionaries (Credit G/L Charge Account Number or Debit G/L Charge Account Number) but not in the input file then it is in the missing in GP section. If the account number is in the input file but not in GL dictionaries (Credit G/L Charge Account Number or Debit G/L Charge Account Number) then it is in the missing GL section.
Steps
  1. Open the 'General Ledger Charge Account Numbers' form.
  2. Click the 'Print G/L Charge Table' item.
  3. Click the [Dynamics GP Comparison].
  4. Validate the 'Missing in GP' section of the report displays the charge account numbers which are in the GL dictionaries, but they are not in the CSV file.
  5. Validate the 'Missing in GL' section of the report displays the charge account numbers which are not in the GL dictionaries, but they are included in the CSV file.
  6. Validate that the report does not display the charge account numbers which are in the GL dictionary and the CSV file contains them.
  7. Close the report.
  8. Click the 'G/L Interface for Charges' item.
  9. Select component and the component value for each of the components.
  10. In the 'Credit General Ledger Charge Account Number' field select desired account from the dropdown list.
  11. In the 'Debit General Ledger Charge Account Number' field select desired account from the dropdown list.
  12. Click [File General Ledger Pay/Adj Account Numbers].
  13. Click the 'G/L Defaults for Charges' item.
  14. Select desired account from the 'Default Credit General Ledger Charge Account Number' dropdown list.
  15. Select desired account from the 'Default Debit General Ledger Charge Account Number' dropdown list.
  16. Click [File Default General Ledger Pay/Adj Account Numbers].
  17. Go to the 'Print G/L Charge Table' section.
  18. Click [Print Crystal Report].
  19. Verify the report displays all the components correctly with the value entered/selected for the component.
  20. Close the report.
  21. Close the form.
Scenario 6: GL Integration - Dynamics GP - Validating 'Dynamics GP Comparison' in the ‘General Ledger Payment/Adjustment Account Numbers’ form
Specific Setup:
  • System updated with Avatar GL module.
  • Registry Settings:
  • The 'Enable Dynamics GP Integration' is set to 'Y'.
  • Dictionary Update:
  • File: G/L Interface
  • (202) - Credit G/L Payment Adjustment Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • (203) - Debit G/L Payment Adjustment Account Number - Contains dictionary codes and dictionary values. Note the account numbers / values.
  • General Ledger Interface components:
  • General ledger interface components are defined. Note the components.

  12. Open the 'Compile General Ledger Payment/Adjustment Interface File' form.
  13. Set the 'Bill Period' field to a desired bill period. (i.e. The format of the bill period is MM/YYYY).
  14. Set the 'General Ledger Posting Date' to desired date.
  15. Set the field 'Pre-Compile' to 'Yes'.
  16. Click [Process].
  17. Verify the 'Compile General Ledger Payment/Adjustment Interface File' report launches successfully.
