Cal-PM - Service Codes - Prolonged Duration
Prolonged duration functionality is added to the 'Service Codes' form.
There must be a 'Duration Range' in the 'Service Fee/Cross Reference Maintenance' record when the 'Service Code Category' = 'Primary Add-On Code'.
The 'SYSTEM.billing_tx_prolonged' table has been added to the system.

Note: This functionality is for myAvatar Cal-PM systems only.

Value Added: Agencies can define service codes for prolonged duration functionality.

Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Dictionary Update (PM)
  • Registry Settings (PM)
  • Service Fee/Cross Reference Maintenance
Scenario 1: Cal-PM - Service Codes - Prolonged Duration
Specific Setup:
  • Registry Settings:
  • Enable Multiple Add-On Code Per Primary Code Functionality = 'Y'.
  • Enable Prolonged Duration Add-On Service Generation = desired value other than 'N'.
  • 'N' disables the functionality.
  • 'Y' enables the functionality and adds the 'Prolonged Duration Configuration' field to the service code form. It also allows users to manually select/submit add-on services in 'Client Charge Input' and 'Edit Service Information' forms.
  • 'YR' enables the functionality and adds the 'Prolonged Duration Configuration' field to the service code form. It prevents users from manually selecting/submitting add-on services in 'Client Charge Input' and 'Edit Service Information' forms. The add-on service(s) are created automatically based on the values in the 'Prolonged Duration Configuration' grid.

  • Other Tabled Files: (291) Service Code Type has an extended dictionary value of 'Allow Multiple Add-On Code Definition: Yes' for 'Evaluation Management' at a minimum.

Steps
  1. Open 'Service Codes'.
  2. Select 'Add ' in 'Add New Or Edit Existing'.
  3. Enter the desired service code value.
  4. Create a service code that is identified as a 'Primary Add-On Code'' with a 'Service Code Type' of 'Evaluation Management'.
  5. The 'Service Fee/Cross Reference Maintenance Record' Must contain a value in 'Duration Range'.
  6. Create a service code that is identified as an 'Add-On Code' with a 'Service Code Type' of 'Evaluation Management'.
  7. Create other 'Evaluation Management' add-on codes as desired.
  8. Create a service code that is identified as the 'Primary Code'.
  9. Select the 'Primary Add-On Code' and 'Add-On Code' services created above in 'Select Multiple Add-On Codes'.
  10. Click [Yes] in 'Enable Prolonged Duration Add-On Service Generation'.
  11. Click [Prolonged Duration Configuration].
  12. Click [New Row].
  13. Note all fields except 'Minimum Remaining Duration to be Met for Prolonged Duration Add-On Service to Generate' are required.
  14. Select the desired value in 'Practitioner Category'.
  15. Select the desired value in 'Location'.
  16. Select the desired value in 'Service Code to use for Prolonged Duration'.
  17. Enter the desired value in 'Max Duration Primary Service Must Exceed For Prolonged Duration Add-On Service to Generate'.
  18. Enter the desired value in 'Minimum Remaining Duration to be Met for Prolonged Duration Add-On Service to Generate'. This field may be left blank.
  19. Enter desired value in 'Effective Date'.
  20. Enter desired value in 'Expiration Date', which must be after the 'Effective Date'.
  21. Add additional rows as desired, noting that there can be no rows that overlap the 'Practitioner Category', 'Location' and the date range. An error will be received when attempting to save the grid.
  22. Click [Save].
  23. Click [File Service Code].
  24. Select 'Edit ' in 'Add New Or Edit Existing'.
  25. Enter the 'Primary Code' that had the data submitted in the 'Prolonged Duration Configuration' grid.
  26. Click [Prolonged Duration Configuration].
  27. Validate that data that was saved displays correctly.
  28. If desired, query the 'SYSTEM.billing_tx_prolonged' table and validate the data.

  • File Import
  • The 'Avatar_Cal-PM_File_Import_Record_Layouts' spreadsheet will be included in the update.
  • If desired, create a file that has a missing required field, such as the 'Expiration Date', 'File 1'. This will cause an error to be reported and will be used for testing purposes.
  • Create a file that has a no missing required fields, and contains correct values for all fields, 'File 2'.
Steps
  1. Open 'File Import'.
  2. Select 'Prolonged Duration Configuration' in 'File Type'.
  3. Upload the file, selecting the desired file import item. For our test, we are using 'File 1' to show the error message.
  4. Compile the file and validate that an error message is received. For our test, we are validating that the Expiration Date, which is a required field, is missing.
  5. Delete the file.
  6. Select 'Prolonged Duration Configuration' in 'File Type',
  7. Upload the file with no missing data and contains correct values for all fields, 'File 2'.
  8. Compile and post the file.
  9. Close the form.
  10. Open 'Service Codes' and edit the 'Evaluation Management' primary service code from setup.
  11. Click [Prolonged Duration Configuration].
  12. Validate that the grid opens and contains the values that were submitted in ''File 2'.
  13. Close the form.
  14. If desired, open 'Registry Settings' and change the value of 'Enable Prolonged Duration Add-On Service Generation'.
  15. Submit and close the form.
  16. Retest file import, using a different service code for the primary service code and a new file.
  17. Review the service code [Prolonged Duration Configuration] grid for accuracy.
  18. Close the form.
  19. If desired, query the 'SYSTEM.billing_tx_prolonged' table and validate the data.

  • Note: There must be a 'Duration Range' in the 'Service Fee/Cross Reference Maintenance' record when the 'Service Code Category' = 'Primary Add-On Code'.
  • 'Enable Prolonged Duration Add-On Service Generation' = 'Yes'.
  • The 'Prolonged Duration Configuration' grid contains desired data.
Steps
  1. Open 'Client Charge Input'.
  2. Create a service for desired client and the 'Evaluation Management', 'Primary Code' from SETUP.
  3. Set the duration to create the add-on services based on the information in the 'Prolonged Duration Configuration'.
  4. Validate that if the 'Enable Prolonged Duration Add-On Service Generation' is set to 'Y' that the tester is able to manually select the desired 'Add-On Service' and that an 'Add-On Service' was automatically created for each row that met the criteria in the 'Prolonged Duration Configuration'.
  5. Add desired additional add-on services.
  6. Validate that if the 'Enable Prolonged Duration Add-On Service Generation' is set to 'YR' that the tester is not able to manually select the desired 'Add-On Service' and that an 'Add-On Service' was automatically created for each row that met the criteria in the 'Prolonged Duration Configuration'.
  7. Submit the service and close the form.
  8. Open 'Edit Service Information' for the client and select the service create above.
  9. Validate that if the 'Enable Prolonged Duration Add-On Service Generation' is set to 'Y' that the tester is able to manually select the desired 'Add-On Service' and can add, edit or delete entries. Edit if desired.
  10. Validate that if the 'Enable Prolonged Duration Add-On Service Generation' is set to 'YR' that the tester is not able to manually select the desired 'Add-On Service' and cannot edit or delete the entry.
  11. Submit the service and close the form.
  12. Open 'Client Ledger' validate that the service date for the 'Primary Code' and all add-on services contain the correct units and dollar amounts.
  13. Close the form.
  14. If desired, query the 'SYSTEM.billing_tx_history' table, specific to the client and service and verify the 'prolonged_duration' field.
