Product Update Description

The 'Walk-in Clinic/Waiting Room' widget is modified to allow updating the appointment status when closing the visit. In addition, the service code selection logic is modified to prevent selecting client only services.

Waiting Room - 'Close Visit' action
The 'Walk-in Clinic/Waiting Room' widget is enhanced to allow updating the appointment status when closing a visit. To support this, the 'Waiting Room Appointment Status Codes for 'Close Visit'' field is added to the 'Appointment Scheduling System Defaults' form.
Value Added: Additional support for Waiting Room functionality.

Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Appointment Scheduling System Defaults
  • Scheduling Calendar - Status Update
  • Walk-in Clinic Registration/Waiting Room
  • Walk-in Clinic/Waiting Room
Scenario 1: Waiting Room - Validate the "Close Visit" action
Specific Setup:
  • Please note: this is for Avatar NX systems only.
  • The 'Walk-in Clinic Registration/Waiting Room' and 'Walk-in Clinic/Waiting Room' widgets must be accessible on the user's myDay view.
  • A site is defined with time slots for clinic hours in 'Site Registration' (Site A), (Time Slot A).
  • Staff members are defined with hours for scheduling at "Site A".
  • Three clients are enrolled in existing episodes (Client A, Client B, Client C).
Steps
  1. Access the 'Appointment Scheduling System Defaults' form.
  2. Validate the 'Waiting Room Appointment Status Codes for 'Close Visit'' field is displayed.
  3. Select the desired status code(s) in the 'Waiting Room Appointment Status Codes for 'Close Visit'' field.
  4. Please note: if no status code(s) are selected, all will display in the 'Close Visit' dialog within the Waiting Room.
  5. Click [Submit].
  6. Navigate to the 'Walk-in Clinic Registration/Waiting Room' widget.
  7. Select "Site A" in the 'Waiting Room/Site' field.
  8. Select "Client A" in the 'Add Client' field.
  9. Validate the 'Select Episode' and 'Service Program' populate with the existing episode information.
  10. Populate any other desired fields.
  11. Click [Add to Waitlist] and [OK].
  12. Validate "Client A" has been added to the Waitlist.
  13. Navigate to the Staff View 'Walk-in Clinic/Waiting Room' widget.
  14. Select "Site A" in the 'Waiting Room/Site' field.
  15. Validate "Client A" is displayed in the Waitlist.
  16. Select "In Treatment" in the 'Action' field for "Client A".
  17. Validate a message is displayed stating: You are changing the status to In Treatment. Please Confirm.
  18. Click [Yes].
  19. Validate "Client A" is no longer displayed on the Waitlist.
  20. Select "Active Visits" in the 'Display' field.
  21. Validate the active visit for "Client A" is displayed.
  22. Select "Close Visit" in the 'Action' field for "Client A".
  23. Validate "Client A" is no longer displayed under "Active Visits".
  24. De-select "Active Visits" in the 'Display' field.
  25. Select "Waiting Room" in the 'Display' field.
  26. Validate "Client A" is no longer displayed in the Waiting Room.
  27. Navigate to the 'Walk-in Clinic Registration/Waiting Room' widget.
  28. Select "Site A" in the 'Waiting Room/Site' field.
  29. Select "Client B" in the 'Add Client' field.
  30. Validate the 'Select Episode' and 'Service Program' populate with the existing episode information.
  31. Populate any other desired fields.
  32. Click [Add to Waitlist] and [OK].
  33. Validate "Client B" has been added to the Waitlist.
  34. Select "Add to Calendar" in the 'Action' field for "Client B".
  35. Validate the 'Scheduling Calendar - Appointment Details' form is displayed.
  36. Enter the desired value in the 'Duration' field.
  37. Select the desired value in the 'Service Code' field.
  38. Select the desired value in the 'Practitioner' field.
  39. Click [Submit].
  40. Close the form.
  41. Validate the 'Walk-in Clinic Registration/Waiting Room' widget is displayed.
  42. Select "In Treatment" in the 'Action' field for "Client B".
  43. Validate a message is displayed stating: You are changing the status to In Treatment. Please Confirm.
  44. Click [Yes].
  45. Validate "Client B" is no longer displayed on the Waitlist.
  46. Navigate to the staff 'Walk-in Clinic/Waiting Room' widget.
  47. Select "Active Visits" in the 'Display' field.
  48. Validate the active visit for "Client B" is displayed.
  49. Select "Close Visit" in the 'Action' field for "Client B".
  50. Validate a "Close Visit" dialog is displayed. This will be displayed when there is an appointment associated to the Waiting Room row.
  51. Validate the 'Current Status' field contains "Scheduled".
  52. Validate the 'Appointment Status' field contains the value(s) selected in the 'Appointment Scheduling System Defaults' form.
  53. Select the desired value in the 'Appointment Status' field.
  54. Click [Close Visit Only].
  55. Validate "Client B" is no longer displayed under "Active Visits".
  56. De-select "Active Visits" in the 'Display' field.
  57. Select "Waiting Room" in the 'Display' field.
  58. Validate "Client B" is no longer displayed in the Waiting Room.
  59. Access the 'Scheduling Calendar' form.
  60. Right click on the appointment for "Client B" and click [Status Update].
  61. Validate the 'Appointment Status' field still contains "Scheduled". The appointment status will not be updated when selecting "Close Visit Only".
  62. Click [Dismiss].
  63. Navigate to the 'Walk-in Clinic Registration/Waiting Room' widget.
  64. Select "Site A" in the 'Waiting Room/Site' field.
  65. Select "Client C" in the 'Add Client' field.
  66. Validate the 'Select Episode' and 'Service Program' populate with the existing episode information.
  67. Populate any other desired fields.
  68. Click [Add to Waitlist] and [OK].
  69. Validate "Client C" has been added to the Waitlist.
  70. Select "Add to Calendar" in the 'Action' field for "Client C".
  71. Validate the 'Scheduling Calendar - Appointment Details' form is displayed.
  72. Enter the desired value in the 'Duration' field.
  73. Select the desired value in the 'Service Code' field.
  74. Select the desired value in the 'Practitioner' field.
  75. Click [Submit].
  76. Close the form.
  77. Validate the 'Walk-in Clinic Registration/Waiting Room' widget is displayed.
  78. Select "In Treatment" in the 'Action' field for "Client C".
  79. Validate a message is displayed stating: You are changing the status to In Treatment. Please Confirm.
  80. Click [Yes].
  81. Validate "Client C" is no longer displayed on the Waitlist.
  82. Navigate to the staff 'Walk-in Clinic/Waiting Room' widget.
  83. Select "Active Visits" in the 'Display' field.
  84. Validate the active visit for "Client C" is displayed.
  85. Select "Close Visit" in the 'Action' field for "Client C".
  86. Validate a "Close Visit" dialog is displayed. This will be displayed when there is an appointment associated to the Waiting Room row.
  87. Validate the 'Current Status' field contains "Scheduled".
  88. Validate the 'Appointment Status' field contains the value(s) selected in the 'Appointment Scheduling System Defaults' form.
  89. Select the desired value in the 'Appointment Status' field.
  90. Click [Save Status and Close Visit].
  91. Validate "Client C" is no longer displayed under "Active Visits".
  92. De-select "Active Visits" in the 'Display' field.
  93. Select "Waiting Room" in the 'Display' field.
  94. Validate "Client C" is no longer displayed in the Waiting Room.
  95. Access the 'Scheduling Calendar' form.
  96. Right click on the appointment for "Client C" and click [Status Update].
  97. Validate the 'Appointment Status' field contains the updated appointment status.

Scenario 1: Waiting Room - Validate 'Client Only' service codes are not permitted
Specific Setup:
  • Please note: this is for Avatar NX systems only.
  • The 'Enable Clinic Scheduling' registry setting must be set to "Y".
  • The 'Walk-in Clinic Registration/Waiting Room' widget must be accessible on the user's myDay view.
  • The 'Allow Client Only Services in the Scheduling Calendar' registry setting must be set to "Y".
  • A "Client Only" service code must be defined (Service Code A).
  • A site is defined with time slots for clinic hours in 'Site Registration' (Site A).
  • A practitioner is defined with hours in the 'Staff Members Hours and Exceptions' form (Practitioner A).
  • A client is enrolled in an existing episode (Client A).
Steps
  1. Navigate to the 'Walk-in Clinic Registration/Waiting Room' widget.
  2. Select "Site A" in the 'Waiting Room Site' field.
  3. Select "Client A" in the 'Add Client' field.
  4. Validate the 'Select Episode' and 'Service Program' populate with the existing episode information.
  5. Select the desired location in the 'Location' field.
  6. Select "Practitioner A" in the 'Requested Practitioner' field.
  7. Select "Service Code A" in the 'Select Service' field.
  8. Validate a message is displayed stating: Client-only service codes cannot be used within the Waiting Room.
  9. Click [OK].
  10. Validate the 'Select Service' field does not contain any value.
  11. Click [Add to Waitlist] and [OK].
  12. Validate the client is added to the Waitlist.
  13. Validate that the 'Type' field contains a calendar icon with a + sign, indicating this is a walk-in client that has arrived for their visit.
  14. Select "Find Appt" in the 'Action' field.
  15. Validate the 'Scheduling Calendar - Find New Appointment' form is now displayed.
  16. Validate "Site A" is selected in the 'Search Site(s)' field.
  17. Validate that the 'Practitioner' field contains "Practitioner A".
  18. Select "Service Code A" in the 'Service Code' field.
  19. Validate a message is displayed stating: Client-only service codes cannot be used within the Waiting Room.
  20. Click [OK].
  21. Validate the 'Service Code' field does not contain any value.
  22. Close the form.
  23. Validate the 'Walk-in Clinic Registration/Waiting Room' widget is displayed.
  24. Select "Add to Calendar" in the 'Action' field.
  25. Validate the 'Scheduling Calendar - Appointment Details' form is displayed.
  26. Select "Service Code A" in the 'Service Code' field.
  27. Validate a message is displayed stating: Client-only service codes cannot be used within the Waiting Room.
  28. Click [OK].
