Avatar Appointment Scheduling is enhanced to support the new 'Preferred Appointment Site' field for clients. Please note: a myAvatar NX update is required for full functionality.

Scheduling Calendar - Patient Site Default
Avatar has been enhanced to add a field labeled “Preferred Appointment Site” to the patient demographic forms, including Update Client Data, Admission, Admission (Outpatient), Pre-Admit, Pre-Admit Discharge and Discharge forms where demographics may be updated.
When the Preferred Appointment Site is defined for a selected client, the preferred site will override the site selection when the client is selected while adding a new appointment. If the selected practitioner for the appointment does not have hours scheduled for the site, a warning will be presented to the user with the options to keep the previous site or select a different practitioner. If the user chooses to select a different practitioner, the practitioner field on the appointment details will be cleared, allowing the user to select a different staff member. If the user chooses to keep the previous site, the site will remain unchanged and will not utilize the client’s preferred site. If the client's preferred site is not one of the sites selected upon returning to the Calendar, the user will need to select it to see the appointment.

Scheduling Calendar - Patient Site Default
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Admission
  • Site Registration
  • Site Registration - Assign ID
  • Staff Members Hours And Exceptions
  • Update Client Data
  • User Definition
Scenario 1: 'Update Client Data' - Verification of form filing
Specific Setup:
  • If custom Form Designer changes are present in 'Update Client Data' form, please use 'Form Designer' to revert to 'Netsmart Produced Changes'.
  • A client is enrolled in an existing episode (Client A).
  • The 'Enable Address Validation' registry setting must be enabled.
  • Using the "Site Registration" form:
  • Create additional sites.
  • Using the "Site Hours of Operation" button to enter in operating days/hours for the sites.
  • Using the "User Definition" form:
  • In the "Appointment Scheduling" section, give the user access to the new sites added.
  • Using the "Staff Members Hours and Exceptions" form:
  • Enter hours for the staff member.
Steps
  1. Select "Client A" and access the 'Update Client Data' form.
  2. Enter an invalid address in the 'Client's Address - Street' field and press the 'Tab' key.
  3. Validate an 'Address Validation' dialog stating: "The address was invalid for the following reason: Address Not Found. Discard changes?"
  4. Click [No].
  5. Enter an invalid address in the 'Client's Address - Street' field and press the 'Tab' key.
  6. Validate an 'Address Validation' dialog stating: "The address was invalid for the following reason: Address Not Found. Discard changes?"
  7. Click [Yes].
  8. Validate a dialog stating: "Cancelled." and click [OK].
  9. Validate the 'Client's Address - Street' field is cleared.
  10. Enter a valid address and populate any desired fields.
  11. Enter a 'Place of Birth' value that contains 40 characters.
  12. Select a preferred site in the "Preferred Site" field.
  13. Click [Submit].
  14. Re-enter the form for the client and validate that the data submitted successfully.
Scenario 2: Preferred Appointment Site
Specific Setup:
  • Using "Site Registration" form, add a site and designate it "Site A"
  • Enter in Site hours for M--F (8:00 AM - 07:00 PM) and Saturday (10:00 AM - 2:00 PM).
  • Using "Site Registration" form, add a site and designate it "Site B"
  • Enter in Site hours for M--F (8:00 AM - 07:00 PM)
  • Using the "Staff Member Hours and Exceptions" form
  • Enter hours for the staff for "Site A".
  • Enter hours for the staff for "Site B".
  • Admit a test client into any program.
  • Using the "Update Client Data" form, set the client's "Preferred Site" to "Site A".
Steps
  1. Open the "Scheduling Calendar".
  2. Set the "Site Filter" to "Site A" (clients preferred site).
  3. Fill out all required fields.
  4. Validate the form files without any messages.
  5. Open the "Update Client Data" form.
  6. Change the clients preferred site to "Site B".
  7. Open the "Scheduling Calendar".
  8. Schedule an appointment or a day that "Site A" has hours but "Site B" (Clients Preferred Site) doesn't.
  9. Validate the appointment schedules without issue at "Site A" (preferred site "Site B" isn't open on the day).
  10. Open the "Scheduling Calendar".
  11. Schedule an appointment on a day that "Site A" and "Site B" both have the time available.
  12. Validate the user is asked if they want to change appointment site to the client's preferred site.
  13. If you say No to changing the Site, then it will remove the practitioner.
  14. If you say Yes to changing the Site, then the "Appointment Site" field is changed to the client's preferred site.
  15. Using "Staff Member Hours and Exceptions" form, remove hours for the user from "Site B" for a day during the week such as "Friday".
  16. Open the "Scheduling Calendar" form.
  17. Schedule an appointment whose date and time is available for both "Site A" and "Site B", but the practitioner doesn't have any hours scheduled on that day.
  18. Validate a message is displays that indicates the practitioner doesn't have any time available on that date.
  19. Validate you are given the option to change the site to the client's preferred site and remove the practitioner or continue scheduling the appointment at the current site selected with the selected practitioner.

Please note: If client preferred site is not selected upon returning to the Calendar after scheduling an appointment, the user will need to select it and the practitioner on the calendar to see the appointment.
