Client Enrollment - PM
Define the beginning and/or end of an enrollment period for a client.
Prerequisites:
- Enrollment functionality must be set up and enabled through the Enable Enrollments registry setting.
- Enrollments set up in this form will be available in the Admission and Admission (Outpatient) forms.
- While this form exists to allow you to create and edit enrollments manually, the ability to have the system automatically define enrollments is also provided (see Enable Enrollments registry setting).
- The Automated Enrollment creation process (when enabled) will be determined by the Enrollment Program of the admission program (as defined in Program Maintenance) for any episode filed for a client along with the admission and/or discharge dates of any other episodes for that client.
- When an episode is created (Admission) where no other episodes overlap with that new admission or does not have the same Enrollment Program if there are overlapping episodes, a new enrollment will be created.
- When this happens the Enrollment Type of the newly created enrollment will be assigned the same value as the Enrollment Program of the admission program. If the new episode being filed has the same Enrollment Program and overlaps with an already existing episode there will be no new enrollment created. In this scenario, the new episode will be automatically associated with the already existing enrollment.
Add a New Enrollment Period
- Go to: Avatar PM > Client Management > Client Enrollment
- In the Add/Edit Enrollment field, select Add.
- In the Enrollment Start Date enter the beginning date for this enrollment period.
- If applicable, enter the closing date for the period in the Enrollment End Date field.
- In the Enrollment Type field, select the program type for this enrollment. Upon selection, the system will check for any overlapping enrollment records.
- Click Submit.
Result: The system will automatically assign a unique ID to this enrollment.
Edit an Existing Enrollment Period
- Go to: Avatar PM > Client Management > Client Enrollment
- In the Add/Edit Enrollment field, select Edit.
- In the Select Enrollment field, select one of the client's existing enrollment records.
- The Enrollment Identifier field displays the unique ID for this enrollment.
- In the Enrollment Start and End Date field, edit the timeframe as appropriate.
- In the Enrollment Type field, select the program type for this enrollment. Upon selection, the system will check for any overlapping enrollment records.
- Click Submit.
