CCBHC Population Maintenance - PM

Maintain and print data related to clients' CCBHC population associations.
  • Data from a state-provided file can be imported to this form by using the CCBHC Population file import type on the File Import form.
    • When the data is imported, it will first try to match a client based upon SSN and Date of Birth. If there is no match, then it will look in the Financial Eligibility data to find a client who has a value in the Subscriber Policy ID field that matches the Medicaid ID, as well as matching the Date of Birth
    • Records that can not be uniquely matched will be put on an error report with the data from the file.

  1. Go to: Avatar PM > Client Management > CCBHC > CCBHC Population Maintenance
  2. In the Client field, search for and select the client.
  3. The Population Assignment History table displays all of the existing population records associated with the client. Records are listed in reverse chronological order by End Date. Records with a blank End Date will be listed first.
    Add or delete records from this grid using the New Row and Delete Row buttons. Only rows that have not ben finalized and saved can be deleted.
  4. In the Effective Date field, enter the starting date for this client's association with the population.
  5. If applicable, enter the final date for this client's association with the population in the End Date field.
  6. In the Population field, select the CCBHC Population.
  7. In the Status field, check Void to void a previously saved row. Voided records will be removed from the Population Assignment History grid upon submission of the form, but will appear in the CCBHC_population_history table with a status of "Void".
  8. Click Submit to finalize and save your record. The system checks to ensure that there are no overlapping dates for records being added.
