Waiting Room actions

In the Front Desk View for the Waiting Room widget, Front Desk staff members can perform actions such as change the client's status, add an appointment, and indicate when a client has been taken for their visit.

Front Desk staff can take these actions in the Waiting Room widget: 

Action Description
Mark As Present

Change client status from 'Expected' to 'Present' after a client arrives in the waiting room

Admission

Becomes available when a client does not have a current open episode that may be linked to an appointment

Find Appt

Find available appointments for walk-in clients based on the type of staff needed:

  • Selecting 'Find Appt' opens the Find New Appointment form
    Note: On the Find New Appointment form Front Desk staff members can limit search results to staff members that are scheduled for clinic hours or exclude staff members that are scheduled for clinic hours.
Add to Calendar

Assign clients to a specific staff member within the Scheduling Calendar:

  • For 'Add to Calendar' to be enabled, a client must be admitted and have a PATID
  • When a client is added to the Scheduling Calendar from the Waiting Room widget, the Front Desk staff member must confirm details
  • Time Added and Time Waiting are not reset when a client is added to the Scheduling Calendar
  • The status remains 'Present' when a client is added to the Scheduling Calendar
  • The appointment slot is still occupied until the client is checked out
  • 'Add to Calendar' is not available for Call Intake (P#) clients, who must have an admission to create an appointment
Telehealth

Indicates clients that are present but not initially marked for telehealth on arrival, or clients that have been checked in for a previously scheduled appointment and are waiting for a telehealth room

Add+In Treatment

Indicates that the client has been taken from the waiting room for their visit:

  • When Add+In Treatment is selected:
    • The status is set to 'In Treatment'
    • The appointment slot is still occupied until the client is checked out
  • Add+In Treatment is not available for Call Intake (P#) clients, who must have an admission to create an appointment
Dismiss

If 'Dismiss' is selected for a walk-in or phone-in appointment that did not have an appointment created on the Scheduling Calendar:

  • The row is removed from the waitlist grid
  • The Action and Time are recorded in the Waiting Room table
  • The appointment slot is released and becomes available 
Cancel Appt

If 'Cancel Appt' is selected for a scheduled appointment:

  • The appointment in the Scheduling Calendar is updated to the first listed cancellation status code
  • The row is removed from the waitlist grid
  • The Action and Time are recorded in the Waiting Room tables
  • The appointment slot is released and becomes available
