Waiting Room widget - Staff View

The Staff View for the Waiting Room widget is for non-Front Desk staff members and shows the Waiting Room list filtered based on the staff member's disciplines as defined in Practitioner Enrollment.

In this view, staff members can:

  • see clients that are in the waiting room along with their respective appointment details
  • view appointments at specific sites/locations, view all appointments for their practitioner type, or view only appointments assigned to them
  • display appointments by active visits or waiting room
  • add a client appointment to their calendar
  • indicate a client is in treatment 
  • indicate the stage of the client's appointment (user defined)

Note: When the staff member is scheduled for clinic hours via a staff-only clinic hours service code, overbooking reduces the number of appointment slots available in the Front Desk View to reflect that the staff member is now meeting with a client from the waiting room.

In the waitlist grid, the Type column indicates if the client is a walk-in without a currently scheduled appointment or if they have a scheduled appointment. Depending on the appointment type, staff members can take one of these actions per row: 'Add Appointment', 'Add+In Treatment', 'In Treatment', 'Return to Waiting Room', or 'Close Visit'.  

The following table describes available actions in the Staff View:     

Action Description
Add Appointment (available for walk-in or phone-in clients)

The client is checked in and removed from the waiting room, and the appointment is added to the staff member's calendar. 

Add+In Treatment The client is checked in and removed from the waiting room, and the appointment is added to the staff member's calendar; the client is taken for their visit.
In Treatment The client is taken for their visit and is removed from the waiting room. 
Return to Waiting Room The client is returned to the waiting room. The staff member must give a reason and indicate the client's new location.
Close Visit The client's appointment is completed and removed from the waiting room list.

 

Icons in the Type column identify the type of appointment:
