Staff Check In Notification

Assign staff members to receive a Secondary Activity Message for the service code in a pop-up notification window upon check-in of a specific appointment.

  • Secondary Activity Messages display notes regarding a specific service. These are set up using the Secondary Activity, and Secondary Activity Message fields on the Service Codes form.
  • Secondary Activity Messages must be set up for the service scheduled in the appointment.
  • The field Notify Practitioner of Arrival (in the Check In section of the Front Desk or Scheduling Calendar form) must be set to Yes for the current appointment. Secondary Activity Messages will be sent in addition to the notification sent to the primary practitioner.

  1. Go to: Avatar PM > Appointment Scheduling > Staff Check In Notification
  2. In the Appointment Site field, select the facility location.
  3. The Current Assignment grid displays the secondary notification assignments that are currently enabled.
  4. In the Action field, select whether to Add, Edit or Remove a notification assignment.
  5. If adding a new assignment, select the practitioner in the Practitioner field.
  6. The Services field populates with the services codes that the practitioner has appointments for today. Select the codes to set up with a notification assignment.
  7. In the Notification Recurrence for Staff field, select the frequency with which the staff member should receive secondary activity check-in notifications.
    • Daily - Retains assignments, allowing the system to send check-in notifications to the assigned staff indefinitely until manually removed.
    • One Time sets up assignments so that check-in notifications are sent for the current date only. All assignments are purged on the following day and must be set up again.
  8. Click File to enable this assignment. It will now appear in the Current Assignments grid.
