PE: Check-In Automator
Description:
One way many clinics are adapting their processes to be safer and more appealing to anxious patients and staff is by reducing the patient's time in the waiting room and contact with front-desk staff when they arrive at the clinic for their appointments.
One of the most efficient ways to accomplish this is to enable patients to check in their own appointments upon arrival and pay their own copays before they encounter anyone at the clinic.

TheraOffice Web Users. For payment options, TheraOffice Pay is required.
How it works:

The image above shows the PE phone field of patient information.
1. When a patient is created and scheduled, you enter their cellphone number in the TheraOffice PE section of Patient Information.

The above image represents the text the patient will receivebefore their appointment.
2. When it is time for the patient's appointment, they will receive a text 5 minutes (or at the interval specified in your settings) before the start of their appointment. The text reads as follows: "Message from [clinic name] - please reply HERE when you are in the facility for a faster check in."

The image above shows the patient responding upon arrival at your clinic.
3. Upon arrival at the clinic, the patient will then reply "HERE" to the text.

The image above shows the appointment which the patient checked in, without intervention from the front desk.
4. This will then check in the patient's appointment on the schedule, creating a document organizer and accounting visit.

The above image shows the interaction if a patient has a copay and card on file and chooses to process that payment.
5. If the patient has a copay due and your clinic is utilizing TheraOffice pay, the patient will then receive a text indicating their copay balance and asking whether the patient would like to pay that using the card on file in their payment profile. If the patient agrees to pay, the card is processed and the payment is applied to their visit copay.

6. If the patient does not have a copay and/or card on file, they will simply receieve a confirmation text that they have been checked in.The text reads as follows: "You have been checked in. Your therapist has been notified and will be with you shortly. Thank you."

7. Finally, the therapist can also receive a text message indicating the patient's arrival.
